Events Sales Coordinator

**Position: Events Sales Coordinator**
**The Role at a Glance**:This position plays a key role within our hotels. Our Events Sales Coordinator assists the Event Sales Team to respond, book and manage events.
**Your Day To Day Duties**:
- Respond to leads as directed
- Review and assign leads
- Collect deposits, review and send final bills as directed
- Enter group blocks and reservations
- Prepare event documentation and coordinate with sales team, hotel departments and clients to ensure consistent, accurate and high-level service throughout pre-event, event and post event phases
- Manage documents in booking system, i.e. updating contracts, banquet event order (BEO) templates
- Initiate and/or create proposals and contracts
- Assist with creating banquet event orders (BEOs), deposits and billing
- As requested by Sales Manager, acts as liaison between sales and client throughout the event process.
- Liaise with banquet, food & beverage and operations teams to ensure all pertinent client information is updated and communicated effectively within deadlines
- Assist sales staff in promoting hotel, developing leads and securing re-bookings
- Ensure that BEOs and other internal documents are executed clearly and distributed on time
- Prepare weekly and monthly Catering/Sales reports
- Be flexible to work occasional evenings and weekends
- Comply with all Archive standards, policies and procedures at all times
- Other tasks and responsibilities as assigned by management
**You have**:
- Strong organizational skills and are able to multi-task and perform in a high paced environment, with competing priorities
- Excellent verbal and written communication skills
- Proficient in Microsoft Office; knowledge of Maestro, Tripleseat and Allseated an asset
- A team spirit, can-do attitude
- Creative and solutions oriented mindset
- Experience in working effectively with internal and external guests
- A professional appearance and manner
- Strong oral and written communication skills, with attention to detail.
