**Overview**

McWilliam & Powell / Marketing Experts seek an executive assistant to help ownership execute client tasks.

The executive assistant is committed to serving small business owners/entrepreneurs and supporting McWilliam & Powell's ownership team. The assistant will perform designated responsibilities and administrative support for the owner to ensure the smooth day-to-day workflow of the office and client projects.

We are looking for an individual who can do remote work and do so at a high level, carrying out all duties professionally, courteously and efficiently while maintaining absolute confidentiality.

A graphic artist's skills would be a great asset to have.

**Goal**

Hire an admin or assistant to aid in growing McWilliam & Powell / Marketing Experts by helping our clients attract and keep customers without burning out. We need an administrator/assistant to help facilitate the smooth flow of clients and McWilliam & Powell projects.

**Skills**
- Must be proficient with the Zoom platform and MS Office products, in particular Word, & Excel, and PowerPoint.
- Must be proficient with Google Suite products, particularly Google Slides, Google Docs, Gdrive, Gmail, and Google Calendar.
- Must be proficient with meta business suites, particularly Facebook and Instagram.
- Proficient with MailChimp, Hubspot, Wix, and backend WordPress would be an asset.
- A graphic artist's skills would be a huge asset.

**Responsibilities**
- Screening, handling and responding to incoming/outgoing communications promptly
- Following up on tasks, projects and files to ensure progress is on track
- Taking notes on sales calls
- Coordinating meetings and all associated logístical tasks
- Setting up monthly webinars
- Posting on social media
- Designing executive documents
- Designing presentations
- Preparing weekly and monthly reports for the ownership and clients
- Filing expense reports
- Researching material where appropriate to assist in drafting reports and correspondence, like conducting basic market research
- Communicating and talking with vendors
- Assisting in developing and using time management strategies and tools to maximize the owner's time and effectiveness
- Working on projects as directed
- Developing and maintaining an electronic and paper record management system

**Working Environment & Conditions**
- Core office hours are Monday-Friday, 8:00 AM - 4:00 PM. Flexibility in schedule may be required from time to time to accommodate office requirements;
- This is a 3-4 month full-time contract with an option for 12-18 months.
