As we continue to expand, we are seeking a motivated and detail-oriented **Office Coordinator**a.k.a “_**Director of First Impressions”**_

**Job Description/Function**:

- Prepare sales quotations and presentations
- Daily order processing: order entry, invoicing and shipping
- Provide best-in-class customer service support to our customers
- Communicate important feedback from customers internally
- Work collaboratively with other team members
- Other duties relevant to the position, shall be assigned as required

**Accounts Payable** **light duties include**:

- Process invoices accurately and efficiently
- Verify the accuracy of invoices and resolve/outline discrepancies
- Reconcile vendor statements and resolve discrepancies
- Prepare and process payments to vendors, including cheques and electronic transfers
- Assist with month-end and year-end closing processes (Bookkeeper to lead general To Do’s)

**Account Receivables light Duties Include**:

- Invoice processing, generate and issue invoices to customers accurately and promptly
- **Collections**:assist follow up on outstanding customer payments, resolving any issues to expedite collections
- **Reconciliation**:assist in regular account reconciliations to ensure accuracy and resolve discrepancies

**Customer Communication**:

- Maintain professional and effective communication with customers to address billing inquiries and resolve payment issues.
- Reporting: Generate and analyze accounts receivable reports for management review.
- Account Maintenance: Keep detailed and accurate records of all collection’s activities.

**Must Have**:

- Bachelor's degree and/or min 3+ years experience in Office Admin/Sales support position
- Strong knowledge of office admin principles and practices
- Proficiency with accounting software and Microsoft Excel
- Excellent attention to detail and organizational skills
- Effective communication and interpersonal abilities
- Ability to work independently and as part of a team

**Job Types**: Full-time, Permanent

**Salary**: $50,000.00 per year
