Brain Treatment Centre Vancouver is MeRT therapy clinic originally created in California.

The Patient Care coordinator is the first contact a new or returning patient has with our clinic and is vital to the organization. They provide outstanding customer service to our internal and external customers, while keeping the schedule/appts running smoothly. Performs tasks in compliance with company policies and procedures. Performs complex administrative tasks in support of the clinic—schedules complex appointments scheduled for patients and families. Retreives & files complex medical records and EEg reports for routine requests and storage following patient appointment.

**Duties Include but are not limited to**:

- Greets and directs all clients upon entering facility, explains paperwork, patient's rights, consent forms
- Handles incoming calls and performs general administrative duties such as filing, faxing, and scanning
- Creates schedules according to protocol
- Retrieves patient charts & EEG reports for Clinicians at the beginning and end of each day
- Accurately edits patients schedules if changes need to be made
- Arranges patient and neuro-technician/clinician schedules for treatment procedures
- Structure, organize and maintain patient records to ensure confidentiality and expedite retrieval
- Inputs data entry into MeRT software
- E-mails EEG Department of upcoming EEG appointments for the day
- Stocks and refills snack tray and drinks
- Creates invoices & processes all accepted forms of payment appropriately and accurately
- Helps answer questions about the clinic, its policies and the rights of the patient
- Prepares orientation materials for patient education and understanding of BTC
- Orders/manages all office supplies and inventory
- Consume Neuro Tech duties - and carry out treatment if suitable

**Qualifications & Skills**:

- **Knowledge-** Has a full understanding of the job. Proficient in written and spoken English, bilingual a plus. Obtains or provides information on important or sensitive organization matters. Good verbal and interpersonal skills. Basic knowledge of medical terminology. Ability to learn and utilize MRT Desk Software efficiently. Strong time management skills. Cheerful presence, positive attitude and good communication skills. Attention to detail, able to establish priorities and use good judgment. Able to multi-task and adapt to a fast paced, changing environment. Flexibility is key. Strong computer skills including but not limited to Microsoft Word & Excel. Exceptional organizational skills, able to work on multiple tasks simultaneously. Open to feedback, able to follow directions. Protects patient confidentiality by securing PHI appropriately. Polite and consistent phone manner using proper phone etiquette and professionalism.
- **Problem Solving-** Solves routine problems of limited scope and complexity by following established practices and procedures. Seeks guidance when needed.
- **Discretion-** Received general supervision with basic instructions for routine tasks and detailed instructions for new lines of work or special assignments. Performs routine or standardized work, choosing from a variety of well-established options. Work is reviewed for overall adequacy and accuracy. Ability to learn/demonstrate HIPPA guidelines in regards to privacy of patient info.
- **Contact-** Interacts frequently with all patients/office team, neuro techs, corporate and clinic management.
- **Education/Certification-** College required, 2+ years of related experience, HIPAA Certification & AED Certified.
- Must be fluent in English

**Job Type**: Part-time

**Salary**: $18.00-$23.00 per hour

Expected hours: No more than 20 per week
