Executive Assistant, Vice-president Students

Applications are invited for the position of Executive Assistant to the Vice President, Students, located at the Welland Campus. The salary range is $76,029 to $95,038 for a 35-hour work week. Additional hours may be required as necessary.
**Responsibilities include, but are not limited to**:
- Planning and organizing the daily operations and flow of information within the office of the Vice-President, and cascading information throughout the division.
- Ensuring optimal scheduling of the Vice President’s calendar including organizing meetings, preparing, and sending correspondence, agendas, minutes, briefings, reports, and other documents.
- Facilitating communication/liaising and acting as a divisional and college resource to students, staff, faculty, community members/partners, government, and provincial operating groups.
- Providing administrative support for human resources functions such as absentee reporting and coverage, performance evaluations, hiring requests, and professional development requests.
- Working collaboratively with members of the Executive Team and their Executive Assistants.
- Preparing and reconciling expense reports, monitoring of expenditures, and ensuring compliance.
**Qualifications**:
- Minimum three (3) year diploma/degree in Office Administration, Business Administration, Communications or in a similar field of study.
- Minimum seven (7) years’ practical experience in a similar role, providing administrative support to a Senior Management or Executive position.
- Experience in an academic environment working with Peoplesoft, Sharepoint, and LMS are considered an asset.
- Proven ability to be resourceful and proactive in anticipating needs and opportunities.
- Strong analytical, critical thinking and problem-solving skills in a fast-paced environment.
- Exceptional communication skills, both oral and written with a demonstrated ability in drafting business documents, letters, reports, presentations, and proposals at a senior level.
- Strong organizational skills with the ability to independently prioritize and handle simultaneous assignments while adapting to changing deadlines and priorities, exercising initiative and good judgement, sensitivity, and confidentiality.
- Experience coordinating and supporting meetings, committees, special events and activities.
- Considerable experience preparing, managing, and maintaining budgets.
