**Role Overview**:
**Key Responsibilities**:
**Lease Administration**:Meticulously manages and oversees the entire lease lifecycle, from initial drafting and negotiation to renewals and terminations. This includes a detailed review and analysis of leases, ensuring accuracy, compliance, and alignment with company policies and legal requirements. Act as the custodian of all lease-related documents, meticulously organizing and maintaining a comprehensive digital and physical archive.
**Tenant Relations**: Act as the frontline in fostering strong, positive relationships with tenants. Address and resolve tenant inquiries and concerns promptly, with a focus on delivering exceptional service. Conduct regular tenant satisfaction surveys and implement feedback mechanisms to improve service delivery and tenant retention strategies.
**Financial Reporting and Budgeting**: Prepare detailed monthly financial reports and annual budgets for operating expenses and capital expenditures with a high degree of accuracy. Analyze financial data to identify trends, forecast future costs, and provide actionable insights to the management team. Ensure the timely processing and payment of invoices, rent collections, and management of financial discrepancies.
**Operational Support**:Coordinate closely with the maintenance and operations teams to ensure that all properties are maintained to the highest standards. Schedule regular inspections, oversee repair and maintenance work, and ensure compliance with health, safety, and environmental regulations. Develop and implement operational policies and procedures to enhance efficiency and cost-effectiveness.
**Vendor Management**: Strategically source, evaluate, and manage relationships with contractors and service providers. Negotiate contracts to secure favorable terms and oversee the execution of services, ensuring compliance with company standards and budget constraints. Regularly review vendor performance to ensure continuous improvement and value for money.
**Marketing and Leasing Support**: Collaborate with marketing teams to create compelling promotional materials for properties. Assist in the development and implementation of marketing and leasing strategies to maximize occupancy and rental income. Conduct market research to stay informed of market trends and competitive positioning.
**Compliance and Risk Management**:Ensure all property management activities comply with relevant local, state, and federal laws and regulations. Proactively identify potential risks and develop strategies to mitigate them. Maintain up-to-date knowledge of industry standards and best practices to ensure properties meet all legal and safety requirements.
**Technology Utilization**: Leverage advanced property management software and technologies for efficient data management, reporting, and operational support. Champion the adoption of new technologies and digital tools to streamline processes and enhance decision-making capabilities.
**Project Management**: Provide administrative and operational support for property development projects, including renovations and upgrades. Coordinate with project teams, monitor progress against milestones, and manage project documentation to ensure timely and on-budget completion.
**Administrative Excellence**: Perform a wide range of administrative tasks with precision and professionalism. This includes managing correspondence, scheduling meetings, maintaining records, and developing efficient filing systems. Act as a key point of coordination for the property management team, ensuring seamless communication and workflow.
**Asset Record-Keeping and Database Management**:Organize and maintain records and databases for newly acquired assets, ensuring data integrity and accessibility. Work closely with the acquisitions team to seamlessly integrate new properties into our portfolio, facilitating smooth transitions and immediate alignment with our management standards.
**Desired Qualifications**:
Bachelor’s degree in Business Administration, Real Estate, or related field. Proven experience in commercial property management, with a strong foundation in lease administration and tenant relations. Exceptional organizational, communication, and interpersonal skills. Proficiency in property management software and MS Office Suite. Experience with Yardi is a plus.
