Heidelberg Materials is looking for an Accounts Payable Administrative Assistant to join our Administrative Team. Reporting directly to the Administration Supervisor, this role will help with the processing of Accounts Payables, among other administrative duties. This position is based in Vancouver, BC.

**What you’ll get to do**:
**Payables**:

- Receive, code invoices from Purchase Order, Process into MAP (Onbase) for Manager approval
- New Vendor Setups
- Forward Vendor Statements to Vendor Support
- Speak with vendors, check in on payments and check into the process
- Expense Sheets / Employee reimbursements as required
- Expedite Payment Requests to Vendors (Manual Cheque Request) as needed
- Match tickets / Reconcile invoices
- Manage and escalate payments for critical vendors
- Accrual of invoices not in payable system at month end

**Purchasing Controls**
- Work closely with Supervisors/Management regarding purchase requests
- Support Purchase Order Process
- Submit to vendor, as requested
- Review/ facilitate the completion/ submission of vendor qualification paperwork and submit to safety department for final review if any data is missing or questionable, as requested
- Review purchasing trends for existing vendor agreements and make recommendations for improvements, in addition to being a person of contact for various small to mid-sized vendors

**Admin**
- Facilitating required paperwork for corporate donations (filling in and completing the appropriate paperwork) upon instruction from Supervisor/Management
- Assist team as required.
- Data entry, month end procedures
- Reception relief
- Admin Assistant backup as needed

**Who we’re looking for**:

- 1-3 years exp accounts payable/book keeping exp
- 3-5 years of admin experience
- Some customer relations experience is preferred
- Computer savvy - OnBase(MAP), Excel, some SAP, JDE

**Work Environment**:

- Role operates primarily a professional office environment, but requires conducting business at manufacturing locations and job sites where the conditions include moving mechanical equipment, inclement weather, heat, humidity, and elevated noise levels
