Our firm is now seeking a full-time **Receptionist **to join its wonderful team of lawyers and staff.

**Summary**

As the firm's first point of contact, the Receptionist will be responsible for providing exceptional customer service to internal and external clients as they manage the main reception area. This will include welcoming and directing clients to the appropriate person, notifying firm personnel of visitor or client arrival, sending out and receiving legal documents and couriers, managing the switchboard, responding to general inquiries, and performing other related administrative tasks.

**Primary Responsibilities**
- Greet visitors with professionalism and integrity, notifying the appropriate contact of their arrival.
- Manage switchboard, ensuring all calls are answered promptly and forwarded to the correct individual, using discretion when dealing with difficult circumstances.
- Logging all clients and guests in a Microsoft Excel spreadsheet.
- Sort and distribute mail to appropriate staff members.
- Track and receive all incoming couriers and packages and notify the appropriate individual of their arrival.
- Send outgoing couriers using our shipping partners’ websites, often dealing with high volume.
- Monitor and ensure time-sensitive couriers are picked up and handed off to the appropriate courier company, ensuring prompt delivery to the correct destination.
- Receive and forward electronic faxes to the appropriate individual(s).
- Maintain a safe and clean reception area by complying with procedures, rules and regulations.
- Ensure all meeting boardrooms are organized and clean for staff and guests to the firm.
- Schedule meetings and order catering upon request.
- Assist with other tasks and projects, as required.

**Qualifications, Skills, and Experience**
- Minimum one year of relevant experience.
- Attention to detail and the ability to multi-task is a must.
- Strong interpersonal and communication skills.
- Excellent organizational skills.
- Experience using Microsoft Word, Outlook and Excel.
- Strong client focus and positive attitude.
- Bilingualism will be considered an asset.
