The Faculty of Engineering at the University of Alberta is a leading educational innovator. Its nine programs are accredited by the Canadian Engineering Accreditation Board (CEAB) and consists of five departments. Currently, it has over 200 Faculty Members, 4,500 undergraduate students and 1,600 graduate students, which makes the Faculty of Engineering one of the largest graduate program on campus, with student support levels exceeding $20M/year.

**Position summary**

Reporting to the Team Lead Faculty Services, the Faculty Service Administrator is an integral member of the Faculty Services team and contributes to an environment focused on meeting the needs of clients and varied stakeholders.

In particular, this position sets the standards for customer service excellence for Faculty of Engineering Dean’s Office and is usually the first point of contact for many stakeholders including students, staff, and guests. The Service Administrator triages and troubleshoots requests from a variety of internal and external clients, providing everyone with a warm welcome, with effective service and resolution

**Duties**
- Screens, directs, and processes phone, electronic and in person queries.
- Ensures queries are properly directed and followed through.
- Assists with area specific processes or events (including but not limited to mailouts, printing promotional material, invitations, name tags etc.)
- Maintains the room booking procedures and process for meeting and event spaces within the Faculty of Engineering (FoE).
- Liaises with Facilities and Operations on behalf of the Office of the Dean pertaining to work order requests.
- Ensures signage is current and accurate for the Office of the Dean space.
- Acts as the Floor Access Coordinator, processing access requests (removal and adding) for OneCard building and room access.
- Assists with the coordination of office moves for new and existing staff within the Office of the Dean. Ensure offices and workstations are clean and ready for new occupants.
- Communicates relevant facilities and operations information to ensure all area staff are informed of activities that may affect them.
- Creates and maintains spreadsheets and/or databases. Designs and develops customized reports for specific needs.
- Other duties as necessary.

**Minimum Qualifications**
- Diploma (Administrative diploma program), or combination of education and experience; degree preferred
- Two or more years of administrative or frontline customer service experience
- Excellent interpersonal, organizational and communication skills (verbal and written), with demonstrated attention to detail and accuracy; experience writing formal communications, agenda, minutes, etc.
- Demonstrated ability to develop and maintain positive, professional, collaborative working relationships with all stakeholders at all organizational levels
- Demonstrated ability to manage time and workload effectively and meet deadlines
- Strong motivation to work in a high-volume professional service oriented environment
- Effective conflict management skills
- Ability to manage stressful situations
