Front Office Administrator

**Major areas of responsibility**
Reporting to : The Body Shop Manager
- Provide courteous assistance to customers and internal clients.
- Carry out administrative duties that support insurance claims and private jobs.
- Provide administrative services in an effective and efficient manner to ensure that files are accurate and up to date.
- First point of contact for clients calling in or greeting upon arrival.
- Scheduling of estimate appointment and/or organizing assignments and calling customers.
- Provide back-up to front office staff including general administrative duties such as accounts payable and receivable.
- Answer phones and greet customers.
- Schedule appointment for estimates.
- Organize assignments and call customers to arrange appointment.
- Assist in information management i.e. communicate insurance policies to clients; document customer concerns and/or requests on Shop Manager.
- Process tow-ins
- Schedule customer come-backs
- Process mail and posting of invoices
- Posting of deductibles and general payments
- ARMS updates
- Assist Customer Service Representatives (CSR) and Repair Planners, as required.
- Assist in daily tasks as assigned by Management.
- Sending out review request
- Organizing daily intake
- Reconcile credit card transactions.
**Required Qualifications**
- Business administration degree or Administration assistant certificate.
- 1 to 3 years of customer service experience.
- Excellent interpersonal skills.
- Analytical and problem solving skills.
- Very effective organizational skills.
- Ability to maintain a high level of accuracy in data entry.
- Ability to maintain confidentiality concerning customer files.
- Working knowledge of Windows & Microsoft Office
