**Position Summary**

The Office Manager will provide a high level of administrative and strategic support in all aspects of planning, management and operation of the Centre, and will work closely with Dr. Taslim.

**Key Responsibilities**

Office Management
- Responsible for the day-to-day functioning of the office
- Carry out client intakes
- Ensure clients are scheduled and have submitted their payment, including billing third parties like WSIB, NIHB, and Medavie Bluecross
- Ensure Associates are following procedures
- Calendar/agenda and meeting management and support, including meeting minutes and follow up
- Maintain an efficient filing system
- Serve as the point person for office manager duties including mailing, supplies, equipment, bills, errands, and (online) purchasing
- Be the first and main point of contact for all inquiries and concerns from therapists, clients, and third-party individuals/organizations (e.g. insurance, media, partnerships, etc.)
- Ensure security, integrity, and confidentiality of data

Business Development
- Help grow the practice by finding new referral sources
- Help with marketing, including managing all social media accounts and preparing appropriate print and digital material as required
- Build connections with new community organizations

**Terms**

This role is in-person. The Office Manager will work full-time (37.5 hours a week). We have one 2 hour meeting in the evening every month, and it would be expected that the Office Manager would attend this meeting.

Salary starts at $45,000, with the opportunity to grow with the practice. Includes 2 weeks (10 days) vacation and benefits.

**Minimum Qualifications**
- Minimum postsecondary diploma or degree from a recognized institution, with preference given to the following areas of study: Administration, Psychology, or Social Services.
- Computer literacy is mandatory with proficiency in Microsoft Office Suite and Google Suite
- Comfort with Canva, Instagram and Facebook
- Have office experience and/or comfort with general administrative operations
- Have a proven track record of superior organizational and management ability
- Have excellent written and verbal communication skills in English, with the ability to prepare/edit speeches, presentations and various media and communications.
- Have strong interpersonal and public relations skills
- Be calm, friendly and respectfully efficient
- Ability to relate well with clients and medical professionals, and exercise discretion as appropriate
- Demonstrate initiative, and have the ability to set priorities and work effectively with minimum supervision
