**Whaley Estate Litigation Partners** is a mid-Toronto based Trusts and Estates boutique litigation firm. We are looking to add an **Office Manager to** our professional team.

Reporting to the principal lawyer, the Office Manager has the **primary responsibility** for the daily operations of the firm which include:

- **Administration**: Ensuring professional memberships are current; managing professional insurance; and office protocols; assisting in professional development programming; supporting management with research and implementation on operational and strategic projects
- **Finance**: Maintaining records of expenses and vendor contracts; managing office budget and expense reports; oversee bookkeeping duties and banking; overseeing client billings; accounts receivable/collections; and liaising with office bookkeeper for reconciliations and HST remittance.
- **Human** **Resources**: Overseeing and managing non-lawyer staff; coordinating associate and student recruitment processes; maintaining office records; onboarding; training; providing process support on performance review processes; and wellness initiative support; supporting diversity and inclusions initiatives; acting on Firm committees, including Occupational Health and Safety; and social events.
- **Facilities and Office Services**: Liaising with landlord and property management staff; coordinating construction projects; acquiring furnishings; acquire and maintain office equipment; oversee supply ordering and inventory; tracking lease requirements.
- **IT**: liaise with IT service providers and discuss IT solutions for the firm; and ensure ongoing service is maintained
- **Marketing and Firm Events**: work with marketing manager for regular web updates; organize firm events
- **Library**: Keep collection and subscriptions updated; and arrange training.

**Skills and Competencies**:

- Post-secondary degree or diploma in Human Resource Management, Business Administration, or Bookkeeping plus a minimum of two years’ experience in office management, preferably in a law firm environment.
- **Positive, professional disposition** and flexibility to handle regular interruptions and unexpected changes to work-flow
- Excellent **communication** and customer service attitude
- CHRP or CHRL accreditation or in progress preferred OR bookkeeping background or financial operations background within a law firm environment.
- Ability to handle **confidential **material and information
- **Proficient** in MS Word, Excel, Outlook and PowerPoint
- **Relationship-building leadership** (ability to motivate others in teamwork and collaboration)
- **People management** skills and the ability to coach, counsel, train and develop firm members; to promote teamwork
- **Project management** skills and the ability to prioritize, plan and implement firm projects and special events
- **Time management** skills and the ability to meet tight and competing deadlines
- **Analytical **skills with proven problem-solving capabilities
- **Technology** skills including proficiency and an openness to innovation
- This position requires the ability to work in an exacting, high-volume and deadline-driven environment; to work both independently and collaboratively with firm members and colleagues;
