**Job Summary**: Ultimate Golf Lounge, located in the heart of Vancouver, seeks a Receptionist/Administrative Assistant. As the only golf club in the area equipped with world-class golf simulation technology, UGL is a premier destination for professional-grade golf teaching and training. Responsibilities include managing front desk operations, providing exceptional customer service, handling administrative tasks, and supporting the team in delivering top-notch services such as master-class golf instruction, boutique retail, equipment workshops, and TPI physical training and rehabilitation. This role is ideal for someone passionate about golf and eager to contribute to a high-caliber golfing experience for enthusiasts and professionals alike.
**Job Duties**:
- **Front Desk Management**_**:
- Greet and welcome guests in a friendly and professional manner.
- Manage visitor check-in and check-out processes.
- **Customer Service**_**:
- Provide information about the club's services, facilities, and schedules.
- Address customer inquiries and resolve complaints efficiently.
- Assist customers with booking appointments for golf instruction, physical training, and equipment services.
- **Administrative Support**_**:
- Maintain accurate records and filing systems.
- Schedule and coordinate meetings and events.
- Prepare and manage correspondence, reports, and documents.
- **Retail and Sales Assistance**_**:
- Assist customers in the boutique golf retail shop.
- Process sales transactions and manage inventory.
- Provide product knowledge and recommendations to customers.
- **Operational Support**_**:
- Ensure the reception area and other common areas are tidy and presentable.
- Assist with the setup and breakdown of events and training sessions.
- Coordinate with instructors, trainers, and workshop technicians to ensure smooth operations.
- **Technology and Simulation Management**_**:
- Assist with the operation and troubleshooting of golf simulation technology.
- Provide basic technical support and guidance to users of the simulation equipment.
- **Scheduling and Coordination**_**:
- Manage booking schedules for golf lessons, physical training sessions, and equipment services.
- Coordinate with various departments to ensure availability and resource allocation.
- **Marketing and Communication**_**:
- Assist in creating and distributing promotional materials.
- Update and maintain the club's social media presence.
- Communicate special offers and events to members and guests.
- **Financial Responsibilities**_**:
- Handle cash transactions and maintain a balanced cash drawer.
- Assist with basic accounting tasks as needed.
**Skills and Qualifications**:
- Excellent interpersonal skills and verbal communication skills.
- Fluent in written and oral English and Mandarin, being able to speak in Cantonese is an asset.
- Good organization and time management skills.
- Problem-solving abilities.
- Willing to learn and accept challenges.
- Able to work independently and a good team player;
- Multitasking
- Strong attention to detail and work effectively under pressure in a fast-paced environment;
- Excellent computer literacy, including MS Office Tools.
- Minimum 1-year experience with administrative support, experience in the Marketing industry is an asset.
- 1-year experience with serving alcohol is an asset.
