The Scheduler & Administrative Assistant supports delivery of exceptional, safe care in alignment with our five cultural pillars: Person and Family-Centred Care, Safety as a Priority, Quality and Innovation, A Great Place to Work, and Sustainability.

- Create and contribute to the care home where team members feel valued and a strong sense of belonging.
- Coordinate scheduling for a large team on a daily basis through effective communication and meticulous attention to detail, ensuring compliance with Collective Agreements.
- Communicate effectively with Nurse Team Leaders and Managers about resourcing and variances in daily schedules of staff.
- Fill shift absences and leaves of full time/part time permanent staff through regular business hours in compliance with procedures and/or the relevant Collective Agreements, utilising the computerized scheduling program, recording and analyzing any variances from scheduled shift times.
- Respond to any inquiries, or other requests that are directed to the designated scheduling line.
- Support the HR office to prepare, adjust and post staff rotations from the master rotation.
- Ensure that staff with relevant skills are scheduled and or available.
- Attend and actively participate in Leadership Team meetings, keeping the Leadership Team abreast of any issues regarding scheduling.
- Assist with confidential archiving and storage of Resident charts.
- Ensure office equipment is secure and well-maintained in good working order.
- Support management of reception including greeting and directing visitors as required, and answering and redirecting general phone calls as required.
- Minimum of 3 years of administrative/scheduling experience in a unionized environment is required including experience with electronic scheduling systems.
- Ability to communicate effectively in the English language (both orally and written).
- Ability to establish and maintain good interpersonal relations by displaying tact, courtesy and patience with residents, staff, visitor, and volunteers, creating a team-focused and team-valued environment.
- Have proven time management skills with the ability to meet deadlines and to work accurately, efficiently and independently with mínimal supervision.
- Meet Provincial immunization and tuberculosis regulations
