Job Summary
The BodyWorks program is a part of the School of Kinesiology's outreach programs. It offers fitness classes to adults, the elderly, and individuals with chronic conditions. It also serves as a hub for work-integrated learning classes and student training. The Program Manager works closely with the Exercise Physiologist to run the day-to-day operations, deliver programs seamlessly, and strategically expand program offerings.

Organizational Status
This position reports to the School of Kinesiology's Manager of Finance and Administration and the Outreach Advisory Committee.

Work Performed

The Program Manager ensures the smooth execution of the daily administration and logistics of the Bodyworks programs. The duties include:

- Providing guidance and support to students, instructors, and coaches to meet clients' specific needs, as well as troubleshooting and problem resolution.
- Evaluate data to create, plan, modify, and set appropriate short-term and long-term programming goals and strategies. This includes financial planning and tracking, revenue and expense forecasts, and preparing the Bodyworks financial reports for the Outreach Advisory Committee and the School's Leadership team.
- Oversees managerial and administrative processes, ensuring successful implementation of Bodyworks operational procedures, policies, and academic integration.
- Create and manage the Bodyworks organizational calendar and the program-wide calendar. This includes setting deadlines and timelines associated with these calendars and overseeing the registration software programming for Bodyworks.
- Manage payroll for students and miscellaneous staff.
- Oversee the creation of schedules, which involves analyzing the availability of over 100 staff and volunteers and ensuring appropriate staffing levels within the Bodyworks program.
- Manage onboarding/training, supervising, and performance evaluation of program support staff and student volunteers for new and existing programs offered through Bodyworks.
- Develop and refine recruitment plans based on needs assessment and budget, manage overall recruitment and selection of personal trainers, fitness instructors, fitness center supervisors/front desk attendees, volunteers, and workshop facilitators.
- Support the Bodyworks Exercise Physiologist for client assessments, personal training, group bookings, and academic collaborations where necessary.
- Refine HR policies on staff schedules, pay structures, partnership building, program design, and associated certifications/training as needed.
- Establishing, developing, and maintaining partnerships/collaborations with academics, community organizations, and stakeholders.
- Develop and lead orientation and information sessions for Body Works Programs such as Imagine Day and Jumpstart, which are University programs.
- Negotiate contracts with community stakeholders with the support of UBC Legal Counsel.
- Manage communications internally and externally between the programs and collaborating partners, not limited to sharing key program details with clients about programs (i.e., start and end dates).
- Engage in timely communication with key stakeholders related to agreements and other logístical/operational requirements.
- Collaborate with the Exercise Physiologist on strategic planning, decision-making, growth, leadership, and development of Bodyworks for on-campus and community outreach programming, focusing on administration management.
- Responsible for carrying out all other related duties necessary to comply with the job requirements and qualifications, Bodyworks' vision and philosophy, and the strategic plan of the UBC School of Kinesiology.
