**Summary**

Reporting to the Administration Manager, the Project Coordinator will support the Project Management Office in the planning, coordination, and execution of projects to ensure they are completed on time, within scope, and within budget. This role involves assisting with project documentation, communication, scheduling, and various tasks to keep the project on track. In addition, this role will support the administrative team with key advanced administrative tasks including but not limited to invoicing and process improvement.

The intent of this position is to support the planning, execution and closure processes with project managers, subcontractors, and stakeholders such that communication and information flow is continuous during all project phases first, with supplemental support within the administrative team and their functions.

**Duties & Responsibilities**
- Assist in the development and maintenance of project plans, schedules, material procurement and project specific documentation.
- Coordinate project activities, resources, equipment, and information.
- Assist in monitoring project progress and handling any issues that arise as directed by the Project Manager.
- Prepare and maintain project documentation logs and files, including RFI’s, Shop Drawings, Change Orders, communications, status reports, and other project-related documents.
- Assist in the preparation of project tenders/proposals, progress reports, and final reports.
- Facilitate communication between project stakeholders, including clients, team members, and management as directed by the Project Manager.
- Schedule and coordinate project meetings, prepare agendas, and document action items as directed by the Project Manager.
- Assist in identifying potential risks to schedule, materials, project budget and assist in developing mitigation strategies.
- Monitor and track project risks and issues, ensuring timely resolution as directed by the Project Manager.
- Help track project expenses, assisting in ensuring project budget objectives are met.
- Support the Project Manager in ensuring all project deliverables meet the required quality standards
- as per contract.
- Assist in the review of project deliverables for understanding of project objectives.
- Provide support to the Project Manager as required.
- Assist with project planning, including task allocation, resource management, and timeline
- development.
- Help maintain and analyze key metrics for project management jobs to ensure their continuous viability and profitability
- Assist the administration team with process improvement tasks
- Assist with the final steps of jobs including but not limited to, reviewing jobs for inconsistencies and errors, identifying and updating items required for billing purposes and invoicing and progress billing for jobs.
- Ad hoc responsibilities as required by the Administration Manager

**Qualifications**
- Trades Knowledge/ Construction experience considered an asset but not required.

Previous experience in a similar role, or in a quick paced, changing environment involving coordination and organization.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to work well in a team environment and handle multiple tasks simultaneously.
- Strong attention to detail and problem-solving skills.
- Ability to work under pressure and meet deadlines.
- Familiarity with and understanding of project management tools and software.
- Ability to prioritize tasks and manage time effectively.

Pay: $65,000.00-$70,000.00 per year
