**Position Summary**:
Reporting to the Associate Director (Academic Programs and Planning) within the portfolio of the Associate Provost (Teaching and Academic Planning) (APTAP), the Academic Program Administrator provides administrative support for the Associate Provost (Academic Programs and Planning) and the APTAP team daily operations, and acts as a secretary to several key University committees.

**Primary Responsibilities**:
The Academic Program Administrator provides administrative support to the Associate Provost (Teaching and Academic Planning) and to the APTAP team, including:

- Managing the calendar of the Associate Provost (Academic Programs and Planning), including coordinating meeting invitations and room bookings.
- Supporting the operations of the Office of Academic Reviews (OAR) and assisting with the logistics (including travel arrangements) pertaining to the organization of academic and administrative site visits involving high profile external evaluators. Act as notetakers for full site visits for academic reviews.
- Providing support in tracking accreditation cycles in Faculties, including document collection, and liaising with appropriate external bodies
- Providing general administrative support especially pertaining to expense reports, travel, and other logistics for the Associate Provost and the APTAP team. Reconciliation of financial transactions

The incumbent will also:

- Acts as Secretary to the Senate Committee on Libraries and other committees as deemed relevant. This includes preparation and circulation of the agenda, minutes, annual report, scheduling and liaising with different stakeholders. Maintains the committee’s webpage.
- Supports the Associate Director (Academic Programs and Planning) with VRAA related work, especially designations for committees
- Primary contact for matters relating to professional programs and professional orders. Acts as a liaison with the Office des professions du Québec as needed.
- Supports the Course and Program Officer and Associate Director of OAR as needed, including liaising with Faculties and other units, tracking and organizing files, process support, e-calendar updates and assisting with dossier preparation for programs or other course and program changes

**Other Qualifying Skills and/or Abilities**
- Experience in providing day-to-day administrative support to a unit, including management of calendar, logistics and finances.
- Demonstrated organizational skills, ability to multitask and work simultaneously on several projects, ability to prioritize to meet deadlines and adapt to changing circumstances.
- Proven ability to communicate and interact with a wide variety of stakeholders from high level administrators to students.
- Experience supporting committees, preparing agendas, and writing minutes and reports an asset.
- Computer competency in Microsoft Office and web management
- English and French, spoken and written

**Job Types**: Full-time, Fixed term contract
Contract length: 10 months

**Salary**: $33.05-$40.97 per hour
