**About the Role**:
Reporting to the Chair, Department of Educational Studies, the Administrative Coordinator provides a broad range of administrative, coordination, and program support to ensure the efficient day-to-day operation of the Department of Educational Studies and its undergraduate programs. The Administrative Coordinator functions as the information resource person and liaison between Faculty, staff, students, teaching assistants, research assistants, and language support personnel.

**The** **Administrative Coordinator will**:

- Collect, coordinate data and prepare BUFA Department Faculty Workload documents for each faculty member and determine overload contracts, according to the BUFA Collective Agreement and Departmental budget;
- Schedule undergraduate courses in conjunction with the Undergraduate Educational Studies Program Director, the Bachelor of Early Childhood Education Program Director and the Global Education Program Director;
- Authorize “Declare or Change Major” forms, “Application for Year 4 Studies” forms, and “Swipe Access” forms;
- Provide overrides into undergraduate courses when directed to by an Undergraduate Program Director;
- Collect, organize and prepare confidential documentation regarding Faculty tenure and promotion, probationary review, and sabbaticals for Chair;
- Prepare and maintain database of undergraduate course offerings;
- Review and process travel and expense reports, create purchase requisitions, and cheque requisitions for the department;
- Coordinate meetings and events, ordering of food and beverage, processing invoices, preparing deposits and coordinating room arrangements;
- Prepare agendas and record minutes of meetings;
- Prepare part-time teaching budget and assist Budget Officer with Budgeting projections (Schedule 4b) in consultation with the Department Chair and Undergraduate Program Directors;
- Track and prepare reports on student bursaries, fellowships, and course-based awards for the Chair and Faculty.

**Key Skills and Experience**:

- A minimum of two (2) years administrative support experience;
- Planning skills to assist with the delivery of conferences and meetings;
- Strong written, verbal, and interpersonal communication skills;
- Tact, discretion, and confidentiality;
- Ability to interact with persons from diverse backgrounds;
- Strong initiative and ability to function as a self-starter;
- Flexible and adaptable with high energy and ability to deal with a changing work environment.

**Preferred or Asset Skills**:

- Administrative support experience in a University environment; and
- Knowledge of University, Faculty, and department policies and procedures.

**Salary and Total Rewards**:

- Job Grade I, Salary Scale ($43,701-$60,621);
- This is a fixed-term contract set to conclude in May 2025.

*This position is included in the Ontario Secondary School Teachers’ Federation (OSSTF) Union and:

- Salary is therefore determined by the OSSTF Collective Agreement.
- New members shall be placed on the salary grid at the entry level. *
- It is Brock University’s policy to give first consideration to qualified internal Brock University OSSTF applicants.
