**Job Summary**

**Responsibilities and Duties**
- Assist the office manager with general administration duties.
- Support the purchasing coordinator with quoting and general purchasing tasks.
- Generate and manage purchase orders to IMW vendors
- Handle filing, mail distribution, reception, and telephone services.
- Greet and assist clients and visitors.
- Manage confidentiality agreements and IMW forms.
- Maintain employee files.
- Assist with the Health & Safety Committee.
- Manage and maintain inventory of Personal Protective Equipment (PPE).
- Perform AP data entry tasks.
- Match purchase orders with invoices, verify pricing, and ensure accuracy.
- Facilitate monthly cheque runs.
- Record approved vacation time for employees.
- Maintain file systems for job files, quote files, purchase order files, and invoice files.
- Understand and assist Administrative Assistant #2 as required.
- Follow Iafrate Machine Works Ltd company policies and procedures.

**Qualifications**:

- High school diploma or equivalent
- Post-secondary education in office administration or related field is preferred but not required
- Previous experience in an office administrative role is an asset.
- Excellent in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to work effectively both independently and as part of a team.
- Excellent communication and interpersonal skills.
- Familiarity with inventory management systems is an advantage.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Be knowledgeable of ISO/TS 16494 requirements and standards, is an asset
- Be familiar with the Health and Safety Rules and Regulations

**Salary**: From $20.00 per hour

Expected hours: 30 - 40 per week
