JOB SUMMARY
The UBC Faculty of Medicine (FoM), through its Office of Postgraduate Medical Education (PGME), provides postgraduate medical training in 73 Royal College and 2 Family Medicine training programs. The programs span multiple training sites and are distributed to clinical academic campuses and affiliated regional centers across the province. To accommodate the government funded increase in MD undergraduate graduates, the PGME program has been increasing the number of residents accepted into its programs. Since 2003 the number of residents has grown from 700 to almost 1500 in 2024.
The primary function of this role is to coordinate the delivery of health and wellbeing programs and communications for the Resident Counselling & Peer Support office (RCAPS). This includes providing senior level administrative support by coordinating and carrying out all administrative functions of the program, communications support, event planning, evaluations, and special projects as assigned. This role is expected to exercise a high degree of tact, sensitivity, and confidentiality as it relates to resident wellbeing issues.
ORGANIZATIONAL STATUS
As a member of the Postgraduate administrative team, the position reports to the PGME Senior Manager, Learner Support and is located at the PGME office at City Square. The Program Coordinator is required to work autonomously with mínimal managerial direction and is expected to work as a liaison from the PGME City Square office in carrying out their role and providing support to the Resident Counselling & Peer Support portfolio. This role provides support to and takes direction from the RCAPS counsellors and the RCAPS Director.
This position interacts with the Postgraduate Associate and Assistant Dean, Postgraduate Administrative Director, Faculty of Medicine Communications, Residents, Program Directors, Program Staff, and outside agencies such as Resident Doctors of BC. This position deals with sensitive, restricted, confidential matters and consults with the RCAPS Director and Counsellors on complex issues.
WORK PERFORMED
This position works within an understanding and knowledge of UBC's policies, procedures, priorities and practices, as well as the resident counselling provisions within the RCAPS office mandate. This position requires ongoing prioritization and scheduling of work, and is expected to take initiative, problem solve, determine course of action and follow through. This role plays an integral role in the RCAPS office and performs the following duties:
Administration and Finance
Acts as the primary contact for the Resident Counselling & Peer Support office e providing support for all residents across all Health Authorities.
Performs intake safety screenings as required, and when appropriate makes referrals to a variety of offerings or external agencies.
Provides information about the RCAPS and alternative resources to distressed clients when the RCAPS Counsellors are not available, as per established protocol from the RCAPS.
Provides input into RCAPS policy and protocols, and develops and implements administrative procedures.
Develops and manages the annual RCAPS budget in accordance with the Postgrad office and Faculty of Medicine policies.
Schedules all new and returning appointments for the Resident Counselling & Peer Support office, Coordinates and schedules RCAPS meetings with PGME leadership.
Administers web-based scheduling software
Coordinates contracts with delivery services as required.
Communications
Designs and develops digital or paper brochures and promotional materials for the Resident Counselling & Peer Support office,
Posts general interest topics to the RCAPS blog as directed by the RCAPS Counsellors.
Posts content of a sensitive nature requiring professional expertise to the RCAPS blog under the direction of the RCAPS Director and Counsellors.
Provides Google Analytic reporting as required.
Coordinates, maintains, and updates the Resident Counselling & Peer Support website.
Coordinates the distribution of communications and targeted resident wellness campaigns and, when required, consults with the Postgrad and Faculty of Medicine Communication Coordinators. Schedule
