Job Summary

Organizational Status

Reports to the Senior Manager. Collaborates and works closely with Operations Manager. Works with faculty, staff, and students in the School.

The School of Nursing within the Faculty of Applied Science is an outstanding academic unit, has an international reputation for research and scholarship, and values justice, equity, engagement, and responsiveness with a vision characterized by social relevance and excellence. We offer a full range of innovative programs, including intensive BSN, MN-NP, MSN and PhD programs.

Work Performed
- Executes short and long term strategic human resources, budget and administrative plans/goals for ASO and is involved in the development of same for the School of Nursing in conjunction with the Senior Manager.
- Manages human resources matters related to staff in the Administration Office such as recruitment, onboarding, employee development, performance management, terminations and succession planning; supervises staff in a way that promotes a positive and harmonious environment.
- Design and implements strategies and staff initiatives to ensure effective staff orientation, team building and ongoing development within Administration of the ASO.
- Provides guidance and direction to faculty members and supervisors regarding human resource management and employee relations.
- Liaise with Applied Science and Central HR on attendance management, discipline and any other HR issues as required.
- Assists with visa and immigration issues as they arise and provides invitations as required for visitors, PDFs, RAs and department staff.
- Oversees faculty recruitment and appointment, including postings, applicant tracking, managing search costs, arranging start-up funds and immigration documentation
- Manages the appointment and reappointment of Lecturers and all non-bargaining-unit faculty (Postdoctoral Fellows, Adjunct Professors, Research Associates, Visiting Professors, Emeriti, etc.) according to University policies and procedures
- Oversees and manages hiring including documentation for appointments of department and research staff and of student workers, interns and volunteers. Develops and updates job descriptions for hiring new and existing staff
- Administration of department faculty, department staff, research staff and student workers including absence tracking, providing statistics, tracking training and other employment details. Provides monthly statistics and reports to Senior Manager.
- Develops efficient HR processes and procedures related to hiring and administration of department and research staff and student workers to ensure adherence of faculty and University policies
- Leads the development and execution of School financial policies and procedures including, maintenance of accounts, control of expenditures, reconciliation of ledger discrepancies for department PGs
- Prepares budget analyses and submits reports for the Senior Manager and Director a quarterly basis.
- Assists the Senior Manager in the preparation of financial plans related to recruitment and hiring of faculty, including long term financial projections of expenses.
- Maintains ongoing awareness of policy, leads and implements procedural changes, provides information and guidance to faculty, staff and students on University budget and financial policies and procedures.
- Meets/performs day-to-day financial obligations of the School ensuring compliance with Applied Science and University and/or agency policies and procedures.
- Manages year-end reconciliation of project grants.
- Audits departmental accounts to ensure financial integrity and sufficient controls are maintained as per university guidelines
- Oversees the management of research accounts. Ensures account holders are expending funds in compliance with funding guidelines; works closely with researchers ensuring that funds are properly accounted for and that budget anomalies are brought to their attention, with guidance for resolution; monitors financial progress of research and contract accounts to ensure funds are expended during the contractual agreements.
