In the normal course, employees will be hired, transferred or promoted between the minimum and midpoint of the salary range for a job.

Job Description Summary

This position is responsible for overseeing a full cycle human resources system for all bargaining and non-bargaining faculty & staff in the department of Zoology. Responsible for the efficient day-to-day operations and management of the Main Office.

Organizational Status

Reports directly to the Department Administrator and works closely with the Head of the Department. Liaises with Human Resources, Faculty Relations, Finance and Payroll. Provides interpretation of policies and procedures and guidance to the departmental faculty and staff, on academic and administrative matters.

Work Performed

FACULTY HR

Working collaboratively with the Department Head and Director of Administration and Operations sets and oversees departmental human resources, goals and objectives. Responsible for ensuring that the Department's personnel activities are consistent with UBC policies and with applicable employment and human rights law.

Works with the Director of Administration and Operations on developing policies, procedures and systems on all aspects of Faculty Human Resources including: Recruitment, Appointments, Promotion and Tenure processes, Term appointments, Renewals and Reappointments and Leaves of Absence. Includes all bargaining and non-bargaining members.

Coordinates all aspects of the relocation of new faculty members, ensuring compliance with UBC policies. Works in liaison with the Departmental Faculty Recruitment Committee, Dean of Science and Vice-President s offices.

Manages the Postdoctoral appointment process. Advises post-doctoral fellows on financial aid and scholarships opportunities.

STAFF HR

Provides guidance to faculty and staff on all employment matters.

Develops Staff HR policies, procedures and systems, providing guidance to faculty and staff on all employment matters

Develops and implements recruitment and selection process for a wide range of vacancies. Coordinates interviews.

Develops performance standards and job content; evaluates employee performance and development.

Identifies Human Resources gaps and issues and designs and implements strategies to resolve issues.

Manages and maintains leave management records for all staff including accurate accounting of vacation, sick time, and other leaves; reports to Central Administration and takes appropriate action as needed.

Hires temporary support staff as needed.

GENERAL

Directs and manages organization of departmental reviews. May be required to work on special projects or other duties as required, particularly those which reduce the administrative burden of the Department Head and Administrator. Oversees general office management including reception coverage.

Consequence of Error/Judgement

Supervision Received

Reports to the Department Director, Operations and Administration. Works under very limited supervision and has very broad guidelines. Sets own priorities based on the work load and receives no day-to-day supervision.

Supervision Given

Supervises one M&P employee. May supervise CUPE 2950 temporary employees. Supervision includes hiring, training, performance evaluation, and establishing workloads.

Minimum Qualifications

Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.
