**Position Job Title**:HR Faculty Recruitment Assistant

**Location**:Vancouver, BC

**Reports To**:HR Recruitment Supervisor - Faculty

**Primary Purpose**

**Specific Responsibilities**
- Attend interviews and take down notes for record purposes
- Conduct document verifications, checking identification, authorization to work, and transcripts
- Maintain up-to-date job postings in collaboration with the Academics department
- Update data trackers and spreadsheets as the recruitment progresses
- Coordinate faculty referrals, updating the parties involved on progress and ensuring that the data tracker is thoroughly updated and managed
- Produce employment agreements and issue them to new hires along with other HR documents required
- Follow up with new hires for paperwork and documents needed for record management purposes
- Maintain up-to-date knowledge of HR benefits and information regarding faculty employment
- Arrange monthly invoices from job platforms and forward them to Finance
- Provide continuous feedback on the processes and review areas for improvement
- Inform relevant stakeholders on progress and updates as required
- Support the onboarding processes, including but not limited to creating IT accounts and ADP enrollments as required
- Collaborate with the HR Onboarding Success Coordinator to ensure a smooth enrolment
- Actively coordinate documents for timely payroll submissions in accordance to payroll cut-off dates
- Support the HR Recruitment Team by attending virtual and in-person job fairs. Provide constructive feedback on events' outcomes through a reporting system.
- Research market trends and support various hiring initiatives in the department

**Position Requirements**

**Competencies**:

- Ability to work in a fast-paced work environment with minimum supervision
- Strong interpersonal and communication skills are required
- Customer service-oriented
- Ability to prioritize work and complete assignments in an efficient and timely manner
- Ability to exercise sound judgment and follow processes and procedures
- A high degree of accuracy and attention to detail
- Ability to work with a high degree of discretion when dealing with highly confidential and private information
- Excellent organization skills and ability to manage multiple tasks with tight deadlines

**Education and Experience**:

- Minimum Bachelor’s Degree required
- Minimum of 1 year of experience in full-cycle HR Recruitment
- Experience with ATS systems is an asset but not required
