Job description
SBL Contractors is a Calgary-based commercial construction company that services western Canada, specializing in general contracting, turn-key design build projects, and professional construction management. We are currently seeking a full-time qualified Project Coordinator to join our team.
Occupational Summary:
As a Jr. Project Coordinator, you will work directly with the project management team to oversee the planning, implementation, and tracking of a specific short-term project which has a beginning, an end and specified deliverables. A Jr. Project Coordinator’s primary role will be to assist with document control and act as communication liaison between involved parties, all while ensuring adherence to project specific contractual obligations and provincial and federal legislation.
Primary Duties and Responsibilities:
Plan the project
- Familiarize self with the scope of the project and contractual obligations to client to ensure adherence to contract throughout duration of project.
- Under the direction of the project manager, assist in the creation of a detailed work plan which identifies and sequences the activities needed to successfully complete the project
- Assist the project manager in determining the resources (time, money, equipment, etc) required to complete the project
- Familiarize self with the schedule (MS project) for project completion that effectively allocates the resources to the activities, to ensure full understanding of time deliverables and requirements.
- Keep up to date with schedule revisions as adjusted by the project manager and senior management.
- Assist with the development and implementation of a site specific safety plan in accordance with SBL’s safety policy and provincial regulations.
- Understand the objectives and measures upon which the project will be evaluated at its completion.
Coordination and Communication
- Develop and maintain positive relationships with SBL staff including senior management, project managers, administrative and accounting staff, as well as field level managers and employees.
- Develop and maintain positive relationships with engineers and consultants engaged by SBL, as well as all subcontractors and vendors.
- Act as liaison when required between project manager and site manager/supervisor to ensure that both parties are aware of scheduling conflicts and updates, material and labour deficiencies,
- Develop and maintain positive relationships with clients, and communicate all client concerns/needs to the project manager for resolution by the project management team.
Implement the project
- Assist with execution of the project according to the project plan
- Develop forms and records to document project activities.
- Set up files to ensure that all project information is appropriately documented and secured.
- Provide scope of work to subtrades for estimates and obtain material quotes as required for review by project management team.
- Assist with compilation of documents required for submittal for required permits and licences.
- Issue purchase orders to subcontractors, consultants and vendors as approved by project manager
Control the project
- Assist in the writing of reports on the project for management and for funders.
- Assist project manager in issuing subcontracts, and follow up with trades to ensure that contract documents are received signed and executed.
- Assist with data entry to project financial tracking spreadsheets as required by project manager.
- Support project manager in providing backup documentation for proposed change orders to contract.
- Assist with document control for invoicing, including compiling statutory declarations, WCB clearance, insurance letters, and invoicing backup as required.
- Coordinate and record site meetings as required by project manager.
- Track and report project safety statistics as required and, in coordination with HSE staff, ensure that all site activities adhere to SBL HSE policies and standards
- Record project meeting minutes for company records and distribute to site manager and project manager.
- Review the quality of the work completed with the project team on a regular basis to ensure that it meets the project standards, and assist in preparation of documentation for quality control.
Evaluate the project
- Assist project manager in ensuring that the project deliverables are on time, within budget and at the required level of quality
- Assist in preparation of project close-out reports.
Knowledge, Skills, & Abilities Required**
- Ability to read and interpret building specifications and blueprints.
- Mathematical skills and analytical skills necessary to interpret job cost reports.
- Strong working knowledge of Microsoft Office (Excel, Word, etc.).
- Strong understanding of construction processes and terminology.
- Able to demonstrate organizational, time-management and communication skills.
