Reporting to the Programs Director, the Admissions Coordinator is responsible for building relationships within correctional facilities to facilitate service referrals for Beccarian Correctional Care. This role involves documenting each case’s progress, coordinating inmate enrollment into programs, and ensuring smooth transitions from referral to admission. Additionally, the Admissions Coordinator handles administrative duties, including managing records, scheduling, and maintaining communication with stakeholders to ensure effective program delivery.
**Role-specific Accountabilities**
- Oversee all incoming referrals, ensuring efficient management and response.
- Engage with Correctional Services Workers (CSWs) across the province to gather necessary information and documentation.
- Maintain constant communication with referral sources, providing initial and continued responses.
- Conduct interviews with potential Therapeutic Living Unit (TLU) members, either via telephone or in person, to assess suitability.
- Liaise with the Clinical Director and TLU Lead to discuss potential TLU members.
- Triage with team leads to determine bed date availabilities and admission timelines.
- Keep all templated communications current and accurate.
- Utilize an Excel tracking form to maintain detailed records of all communications, dates, and relevant information.
- Complete discharge summary paperwork as required.
- Track reflection dates for TLU members and organize reassessments accordingly.
- Uphold the highest standards of confidentiality, ethical boundaries, and professional conduct with TLU members and inmates.
- Assist with office administration tasks.
- Required to travel to visit each TLU location in Alberta every 2 months to ensure standards are maintained and to provide face-to-face support.
**Qualifications**:
- Previous experience in sales is considered an asset.
- Demonstrated experience working with members from diverse backgrounds and various cultural groups, highlighting an ability to adapt and communicate effectively across differences.
- Strong interpersonal skills, with the ability to articulate ideas clearly and concisely in both verbal and written forms.
- Proficiency in delivering presentations and facilitating group discussions.
- Identified experience working within corrections environments, showcasing an understanding of the unique challenges and needs of this population.
- Strong computer skills, including proficiency in using electronic medical record (EMR) databases, essential for efficient documentation and record-keeping.
- Must possess a valid driver’s license and have a willingness to travel as required by the job demands.
**Conditions of Employment**
- Successfully complete and pass a Vulnerable Persons Criminal Record Check prior to initiating employment and annually thereafter.
- Clearance to be on premises by the Director of the Correctional Facility.
