**Connect Charter School**

Connect Charter School is a Board-governed, publicly funded charter school of 624 students (grades 4 - 9) in Calgary, offering a unique, inquiry-based learning environment that inspires students to understand more fully the world in which they live. The school has a strong culture of collaboration and provides a welcoming environment for students, families and staff. The school emphasizes inquiry learning, technology and outdoor education.

Connect Charter is currently seeking a front office, full time position for the 2024-25 school year.

**Key Responsibilities**:

- **Fulfilling receptionist duties (approximately one third of the job)**:

- **Various School Operations Administrative Tasks (two thirds of the job)**:

- **Phone System Maintenance**:

- Manage and maintain the school’s phone systems, ensuring they are functioning correctly and efficiently.
- **Substitute Teacher Coordination**:

- Organize the deployment of substitute teachers, ensuring coverage for all classes.
- Manage the ReadySub platform, including updating teacher availability and scheduling substitutes as needed.
- **Admissions, Registration and Records Support**:

- Assist with communications related to initial and general admissions inquiries.
- Collect and organize entrance documents from parents for new student admissions.
- Track and maintain records of severe allergies among students and staff.
- Overseeing volunteer police checks
- Update records in the student information system
- **Student Kits and Supplies Management**:

- Order and distribute student kits and necessary school supplies for students.
- **Emergency Folder**:

- Provide updated emergency folders to teaching staff
- **Electives Coordination**:

- Organize the student electives catalog, including coordinating selection and enrollment processes.
- **School Events Support**:

- Support the organization of school events by ordering materials or food (e.g., morning coffee for staff meetings).
- Coordinate with vendors and ensure all logístical needs are met.
- **Attendance and Tardiness Oversight**:

- Oversee student attendance and tardiness records, ensuring accurate tracking and timely communication with families.
- Liaise with teachers and administration to address chronic absenteeism or tardiness issues.
- **School Announcements**:

- Manage and disseminate school announcements, ensuring all stakeholders are informed of important events and updates.
- **Transportation Liaison**:

- Serve as the point of contact for the school transportation provider, addressing any issues related to student transport.
- **Photocopier and Office/Kitchen Supplies Management**:

- Act as the point of contact for photocopier malfunctions, ensuring timely repairs and maintenance.
- Monitor and order office supplies to ensure the reception area and other critical areas are well-stocked.
- Stocking kitchen
- **School Event Organization**:

- Organize and book school events such as vaccination clinics and photo day, coordinating with external providers and internal staff.
- **Other duties as assigned.**
