The Administrative Assistant role in our e-commerce company is crucial for ensuring smooth office operations, maintaining high levels of customer satisfaction, and supporting the success of various teams. This position requires exceptional communication skills, attention to detail, and a customer-focused approach to efficiently handle inquiries and resolve issues. Acting as a strategic partner to the CEO, you will anticipate their needs, adapt to their unique work style, and help channel their perfectionist tendencies into productive outcomes. With strong organizational skills, a proactive mindset, and the ability to streamline processes, you will play a key role in driving operational excellence and contributing to the overall success of the organization.
**Requirements**:
- Provide comprehensive administrative assistance to the CEO, including calendar management, order payment inquiries, and general office inquiries.
- Oversee tasks related to Amazon Seller Central, including addressing account violations, handling A-Z claims, managing negative feedback, and working on Order Defect Rate (ODR) hit removal.
- Support recruitment efforts, including finding applicants, scheduling interviews, following up on interview statuses, and handling intake forms for new hires.
- Assist with contract review, modifications, and negotiations.
- Create cases and resolve inquiries for both the Customer Service and Listing departments.
- Promote awareness of health and safety policies, conduct inspections, manage meeting minutes, and coordinate follow-up tasks for managers.
- Provide assistance with legal processes, policy memos, and contract documentation.
- Maintain an organized filing system, ensuring efficient document storage and retrieval.
- Proficiency in Microsoft Office (Excel, Word) and Adobe Acrobat Pro for handling documents and data entry.
**Responsibilities**:
**1. Calendar Mastery**:Take charge of the CEO's calendar, organizing and scheduling appointments, meetings, and tasks to optimize daily productivity. Anticipate potential conflicts and proactively adjust plans to ensure maximum efficiency.
**2. Priority Alignment**:Collaborate closely with the CEO to understand their objectives and priorities. Assist in identifying high-priority tasks and deadlines, structuring the daily agenda to ensure the most critical tasks receive focused attention.
**3. Time Allocation Strategy**: Develop and implement strategies to allocate time effectively across various tasks, ensuring that essential responsibilities are adequately addressed without compromising the CEO's workflow.
**4. Task Preparations**:Prepare thorough and comprehensive materials for meetings, presentations, and discussions. Ensure the CEO has all necessary information at their fingertips to make informed decisions and contribute meaningfully.
**5. Meeting Management**: Coordinate and schedule meetings, ensuring the CEO's participation aligns with their strategic goals. Craft detailed agendas, manage attendance, and track action items to drive productive outcomes.
**7. Information Centralization**:Establish an organized system for storing and retrieving information, documents, and references. Ensure that critical information is readily available, reducing time spent on searching for resources.
**8. Deadline Adherence**: Monitor project deadlines, ensuring the CEO is aware of impending tasks and milestones. Remind the CEO of approaching deadlines and facilitate timely completion.
**9. Distraction Reduction**: Minimize interruptions by managing communication flow between departments and filtering requests, fostering a productive work environment.
**10. Feedback Loop**: Regularly gather feedback from the CEO regarding their schedule, time management strategies, and overall effectiveness. Use this feedback to make continuous improvements and adjustments.
**11. Proactive Problem Solving**:Anticipate potential time management challenges and devise proactive solutions. Initiate strategies to address interruptions, streamline processes, and enhance overall workflow.
