Lease Documentation Preparation

PAR-Med Property Services Inc. is looking for part-time assistance to provide ongoing documentation support and expertise to leasing and property management staff. You will manage the documentation process from the preparation of the lease document (and support in drafting of offers to lease) to the signing of the lease by the tenant. Relevant data from the documentation will be input on the accounting system for others to follow up on. Lease audits and estoppel preparation are also part of the role. Word crafting and understanding of real estate terms are mandatory.
- Please note that this role has an in-office requirement for 3 days per week and does not offer a hybrid work environment. _
**The Lease Administrator’s Key Responsibilities**
- Prepare all written documentation including but not limited to leases, offers to lease, lease extension and amending agreements, surrender agreements, estoppel agreements, sublease agreements, assignment agreements.
- Circulating and creating lease and offer documents between various internal departments and external stakeholders for comments, revision and approval.
- Coordination of the review process to ensure that documents are reviewed in a timely manner, routed appropriately and traced through every stage of the leasing process.
- Prepare documentation for various Landlords on specific templates, including creating of specialty clauses within offer or lease documents, as required.
- Internal processing of executed documents in a timely manner for property management and accounting departments to perform their duties.
- Liaise with external legal counsel when required.
- Auditing, summarizing and detailing acquired lease documentation, noting business terms and identifying special aspects for property management and accounting departments.
- Prepare estoppels for transitional buildings.
- Negotiation of lease terms with tenants and solicitors.
- Preparation of lease summaries and lease audits.
- Interpretation of specialized lease clauses.
- Other duties /projects as required.
**Required Competencies**:
- Ability to manage and prioritize a large volume of ongoing projects.
- 4-5 years of documentation experience
- Strong MS Office skills: Excel, Word, PowerPoint & Outlook
- Strong Level of Communication
- Have excellent problem solving and communication skills
- Knowledge of Yardi Voyageur an asset.
- Ability to work independently and coordinate multiple deadlines
- Strong attention to detail
