Job description:
Reporting to the President & CEO, the Executive Assistant is accountable for supporting the achievement of ACG’s short
- and long-term Mission, Vision and Strategic objectives. The incumbent is accountable for the completion of direct output support work for the President & CEO and performs administrative/support duties as well as project work as required by the area and Senior Leadership Team (SLT) member. This requires a broad and in-depth understanding of the Allstate Canada Group (ACG) as well as organizational practice and guidelines. This is a full-time 5 day/week role with a necessity to be flexible and adaptable to meet the requirements of the position and to provide effective support to the President & CEO, and the ACG Senior Leadership Team (SLT).
Accountabilities:
- Provide exceptional administrative support to the President & CEO and the ACG SLT with appropriate performance metrics, including quality, quantity, timeliness, productivity, and customer satisfaction.
- Handle and protect highly confidential employee information with extreme discretion
- Perform administrative support work including but not limited to: Expense processing and tracking, booking travel arrangements; booking calendar appointments; preparation of reports, presentations, and agendas.
- Planning of meetings and events
- Corresponding with both internal and external stakeholders.
- Ad-hoc project work as required.
Qualifications:
- Minimum 5 years’ experience as an executive assistant supporting the C-suite level and at least 10 years administrative experience
- Extreme discretion - ability to handle confidential and sensitive information is paramount
- Customer service skills including effective communication - written & verbal
- Ability to manage multiple priorities with ease including balancing day-to-day tasks with larger projects - must be able to meet deadlines without prompting
- Anticipate and take charge of situations where necessary, demonstrate initiative and exercise sound judgement, be self-motivated
- Advanced Microsoft Office skills and learning agility with systems
- College or equivalent diploma/degree is an asset
