**Position Summary**:
Reporting to the Chair of Apprenticeship and Skilled Trades, acts as first point of contact for the Chair fielding inquiries and provides a range of administrative duties, including scheduling the Chairs’ meetings, support services for industry representatives, particularly in terms of Program Advisory Committees (PACs), and support for operational issues/problems, which will involve liaison with other departments and external vendors.

**Key responsibilities**:

- Acts as first point of contact to the Chair including: administrative support such as composing letters/memos, preparing reports, tracking employee expenses/master card log sheets; arranges appointments, meetings and travel needs; boardroom bookings, catering and equipment requirements, prepares materials for distribution.
- Organizes a variety of meetings involving the Chair, including Coordinator meetings, meetings with students/faculty, Industry Partners, and other external representatives.
- Handles issues/problems related to office maintenance and operations with internal departments and external vendors such as Xerox, Facilities/Campus Manager’s office, Chartwells.
- Provides a full range of services for industry representatives such as Program Advisory Committee members including taking minutes, scheduling meetings, catering, and parking arrangements.
- Assists in preparation of faculty handbook and faculty onboarding.
- Assists all faculty with ordering of supplies, photocopying when necessary.
- Participating in college activities and working groups (such as Millennium, Start/End of Term, and internal meetings).
- Assists students with booking meetings with the Chairs as required.
- Other duties as assigned.

**Educational and Experience Requirements**:

- Three-year diploma/degree or equivalent from a recognized post-secondary institution in C Business Administration, Non-Profit Management, or other related field.
- Minimum of three (3) years’ experience gained as a team player in an office environment using a variety of computer software packages such as MS Office and Student Information System databases (SIS).
- Knowledge of industry trends and practices is required.
- Familiarity with the Construction, and Skilled Trades industry sectors and associated terminology is required, to be able to capture meeting minutes and compose correspondence in a technical environment.

- Demonstrated initiative and be able to work independently with mínimal supervision.
- Demonstrated ability to establish priorities, resolve conflicts and make decisions within prescribed boundaries.
- Excellent interpersonal and organizational skills to liaise with people at all levels from executives in technology companies to entry-level students.
- Ability to cope under pressure associated with the management of numerous complex and demanding tasks, and proven ability to meet rigorous deadlines.
- Demonstrated ability to work in a technical environment in which technical terminology is frequently used.
- Discretion, sound judgement and demonstrated ability to preserve strict confidentiality.
- Demonstrated communication, collaboration, and teamwork skills at a professional level.
- Demonstrated commitment to uphold the College’s priorities on diversity and equity.
