**Summary of Position**

Private Pension Partners Realty Services (“P3 Realty”) is seeking a dedicated, well organized, and efficient Administrative Assistant with experience in residential Property Management to join our team. The primary role of the Administrative Assistant will be to provide administrative support to P3’s Asset Manager and Property Manager on the day-to-day administrative activities and record keeping of tenant relations and building management.

**SUMMARY OF ESSENTIAL JOB FUNCTIONS**
- Assist with producing all lease documentation, including new lease agreements, renewals, amendments (extensions and relocations), assignments, and credit/background checks. This includes monitoring and tracking timelines to ensure each document moves through the process successfully and efficiently;
- Assist with the timely collection of deposit, rent and other receivables in accordance with the lease and established company policy.
- Assists with compiling reports such as vacancy, occupancy, maintenance, available square footage and other reports;
- Assist with the production and delivery of correspondence to tenants such as notices;
- Assist with responding to queries and correspondence from tenants;
- Assist with the preparation and gathering of required materials/documentation in relation to RTB processes and matters;
- Attend weekly/monthly departmental meetings, as required;
- Update property websites for availability and any promotional items;
- Assist with social media advertising and marketing materials.

**required skills**
- 2+ years’ previous experience in similar administrative support role with a preferred background in real estate, property management, leasing documentation and contracts.
- Formal education in business administration, real estate, and/or legal assistance is an asset.
- Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint), Adobe Acrobat and be an excellent communicator, both written and verbal.
- Yardi Voyager experience (or similar property management/accounting software) is an asset.
- Able to effectively multi-task and be able to prioritize time-sensitive tasks and matters, deal intuitively with any situation and work under mínimal supervision;
- Strong organization, planning and diplomacy skills to prioritize tasks;
- Knowledge of the Residential Tenancy Act and RTB Policies and Procedures Guidebook will be considered an asset;
- Discretion and confidentiality; and
- Experience working with Yardi software will also be considered an asset.
