**We are seeking a highly organized and detail-oriented Office Manager/Project Coordinator to join our team. You will be responsible for assisting with various administrative tasks and coordinating activities to ensure the smooth operation of projects. This is a vital role that requires strong organizational skills and the ability to multitask effectively.**

**Duties & responsibilities**
- Coordinate with vendors and suppliers to ensure timely delivery of materials and equipment.
- Manage project documentation, including contracts, permits, and invoices
- Assist with Payroll processing for Construction Staff
- Working with Project Manager to prepare work orders, RFPs, purchase orders, invoices, etc.
- Collaborate with the construction team to ensure project deadlines are met
- Assist with team management by coordinating schedules and facilitating communication.
- Preparing invoices to clients
- Responsible for answering phone calls from new and existing clients, and to schedule meetings and appointments for project managers and owner.
- Greet clients and other visitors to the office
- Sort and deliver mail and sign for couriers. Arrange for couriers as required.
- Arrange/schedule material deliveries to different projects.
- Schedule trades for projects and services
- Received and log incoming orders as well as prepare paperwork for outgoing orders
- Prepare weekly and monthly reports as required
- Work with other duties assigned

**Qualifications Requirements**:

- 2-3 years of experience as an Office Administrator, Coordinator or Executive assistant
- Customer Service oriented
- Effective and Confident communicator
- Ability to use online tools and technology
- Detail oriented and accurate
- Experience with vendor management and procurement processes is an asset
- Familiarity with QuickBooks software is an asset
- Ability to work in a fast paced and demanding setting
- Exceptional organizational skills
- Ability to manage and meet multiple deadlines

**Technical Qualifications**:

- Proficiency in Microsoft Word, Microsoft Excel, Microsoft Outlook.
- Proficiency in Buildertrend or other online project management software is an asset
