**The Role**
This position is responsible for proactively supporting the HR team in a variety of HR related duties and administrative tasks including coordination and creation of a variety of employee paperwork and reports as well as administration of various HR systems.
This role will also work closely with the HR Team to proactively support employees and managers within a variety of HR functions including employee relations, recruitment and selection, disability claim/leave management, compensation and benefits, and human resources administration. The Human Resources Associate will also be responsible for responding to questions and queries regarding HR policies and procedures.
**New Hire Process**
- Conduct New Hire Orientation sessions. Inform and educate new hires on the History of MCAP, Benefits, Policies and Procedures, onboarding forms, etc.
- Prepare offer letters, as required;
- Follow-up with managers on employee paperwork and ensure completeness of employee file;
- Demo internal sites to new hires and assist with completing the benefit enrolment process
- Follow up with new employees on outstanding onboarding information and benefit selection
- Maintain new hire tracking tool to ensure all aspects of onboarding have been completed
**System Administration**:
**_Attendance Management System_**
- Review and respond to all attendance management system issues for all companies (back-up);
- Support and guide employees and managers on Attendance Management System functionality;
- Follow up with managers on pending time off requests and timecard entries
**_HRIS (myHR)_**
- Review and action all internal employee changes within specified timeframes to ensure changes can be processed for the next pay period
- Review and audit employee information regularly to ensure all employment details are accurate
**Benefits**
- Review enrolment for new hires and send reminders to complete benefits enrolment within the specified timeframe
- Update employee status changes in benefit system
- Conduct benefit orientation sessions for internal employees
- Provide front end benefit support to employees, including assisting in updating personal information on benefit system
**Disability Claim/Leave Management**
- Prepares STD packages, including employee letter, complete employer statement and all other required disability forms
- Ensures disability information is updated on HRIS
- Manages routine injury or surgery related claims acting as the liaison between third party adjudicator and the employee;
- Co-ordinate the transition to LTD benefits;
- Keep employee’s manager up to date on the status of the claim;
- Track all disability leave statuses on the tracking spreadsheet;
- Co-ordinate all other leave of absences (maternity, parental, etc.).
**Employee Relations**
- Respond to general questions on policies, processes & programs to ensure understanding i.e. Benefits Claims, Job Postings, New Hire Process;
- Consult with benefit provider on employee Health, Dental and Health Care Spending Claims to assist employees with their benefit needs;
- Conduct staff mortgages income and signature verifications;
- Create Employment Confirmation Letters for all companies;
- Confirm employment facts (start date, salary, job title, etc.) to third party and/or internal requests (i.e. staff mortgage) for all companies.
**Terminations of Employment**
- Prepare standard termination letters as needed for approval by the Human Resources leader;
- Schedule employee outplacement services when needed;
- Complete termination paperwork/follow-up with Payroll;
- Conduct exit interviews;
- Track relevant information on both voluntary and involuntary terminations of employment to identify and report on trends and ensure consistency.
**HR Reporting and Analysis**
- New hire notifications and assign employee ID to establish individual as an employee of MCAP for all companies
- Termination notifications to all relevant stakeholders for all companies
- Employee update notifications to all relevant stakeholders for all companies
- Prepare standard reports from HRIS to support the needs of various business units
- Prepare data for internal surveys
- Tracks relevant HR information on various tracking spreadsheets for reporting purposes
- Prepare weekly Activity Report with all employee changes
- Pull monthly/quarterly reports as required for internal audit purposes
