**Office Administration**

**Overview**: The Office Administration role supports our external Health and Safety Representative by managing day-to-day administrative tasks essential for maintaining and delivering our Health and Safety Program in compliance with all relevant rules and regulations.

**Key Responsibilities**:

- **Program Administration**: Collaborate with external Health and Safety Representative and Health and Safety Committees to monitor and administer the Health and Safety Program.
- **New Hire Orientation**: Communicate safety information to new employees.
- **Safety Training**: Schedule and oversee safety training sessions.
- **Information Dissemination**: Under Management's direction, assist in developing and providing Health and Safety related materials, including handbooks, newsletters, and toolbox talks.
- **Emergency Preparedness**: Help coordinate and maintain emergency preparedness plans.
- **Workers' Compensation Support**: Familiarize yourself with Workers' Compensation Board regulations and policies, supporting the Health and Safety Representative and HR Manager.
- **Discipline Tracking**: Monitor safety infractions and related disciplinary actions.
- **Safety Equipment Management**: Ensure necessary safety equipment is available to all employees per external Health and Safety Management guidelines.
- **Policy Review**: Coordinate the review and update of Health and Safety related policies and procedures with guidance from external Health and Safety representative.
- **Management Reporting**: Prepare weekly management reports and maintain tracking and reporting systems.
- **Annual Safety Day**: Organize the Annual Safety Day event in support of the Health and Safety Representative.
- **Customer Safety Platforms**: Ensure compliance with and maintenance of Safety Website requirements for our customer sites.
- **Project Participation**: Engage in various Health and Safety related projects within the company.
- **Administrative Duties**: Handle all relevant administrative tasks associated with the Health and Safety Program.
- **Other Duties**: Perform additional tasks to support the Health and Safety Program.

**Qualifications**:

- **Experience**: Prior administrative experience in a busy environment is required.
- **Healthy and Safety Knowledge**: This is considered an asset but not required. Training and support will be provided.
- **First Aid Certification**: Standard First Aid, CPR, and AED Certification are preferred but not required.

**Knowledge, Skills, and Abilities**:

- **Interpersonal Skills**: Ability to collaborate effectively with individuals at all organizational levels.
- **Problem Solving**: Strong critical thinking and problem-solving skills.
- **Reporting and Procedure Development**: Capable of creating detailed reports and developing safety procedures.
- **Technical Skills**: Proficient in Microsoft Office and administrative systems.
- **Organizational Skills**: Strong organizational abilities with a knack for prioritizing tasks and meeting deadlines.
- **Communication Skills**: Excellent verbal and written communication skills for effective engagement with internal and external stakeholders.
- **Pressure Management**: Ability to work under pressure while maintaining a positive attitude and providing exemplary customer service.
- **Independence**: Self-motivated and able to complete assignments within defined parameters.

Pay: $21.00-$25.00 per hour

Expected hours: 40 per week
