**About Position**:
The Administrative Assistant will perform a variety of administrative and clerical tasks including documentation, scheduling, creating resources and providing support to HR and Operations departments.
The administrative assistant position will help us with running the daily operations of our health, settlement and social services, which serve various vulnerable populations. The local priorities this position meets includes: projects supporting community based organizations, health care and social assistance, seniors and newcomers/refugees.
**Qualifications, Skills and Requirements**:
- Be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations
- Are a Canadian Citizen, Permanent Resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act
- Have a valid Social Insurance Number (SIN)
- Are between 15 and 30 years of age (inclusive)
- Education in administration or pursuing administration or related programs will be an asset
- Effective written and verbal communication skills as well as presentation skills
- A satisfactory current Vulnerable Sector Screening (Criminal Record Check) report, at your own expense
- A valid Ontario Driver’s License, with regular access to a reliable vehicle and proof of adequate vehicle insurance is an asset
- Familiarity with Cloud technology and SharePoint is an asset
- Current first aid/ CPR certification is an asset
- Vaccines (COVID-19 and others) are a job requirement unless you have an exemption on a medical ground under the Ontario Human Rights Code.
**Duties and Responsibilities **_(not limited to)_**:
- Provide admin support to the human resources and operations team
- Use advanced MS Office skills in Word, PowerPoint and Excel for documentation, to create presentations and excel sheets
- Data entry
- Compile and collate documents
- Assist with maintaining office inventory, as applicable
- Plan and coordinate logistics for events and meetings
- Program data verification
- Compiling resources
- Supporting reception staff with greeting clients and providing phone support as needed
- Fax, copy and scan documents and additional general office duties
- Attending internal and external meetings
- Other related duties as assigned
