At this time, the **Halifax Port Authority (“HPA”) **requires:
**Assistant Property Manager**

Assist the Property Manager on Real Estate related matters. This would include tenant, building, event and land management. Carries out the administration and operation of; the Pavilion 22 Cruise Vendors, Events and Parking and coordination of third-party service contracts.

**Accountabilities**

**Property Management**

Assists the Property Manager on Real Estate related matters. This would include tenant, building, event and land management. Demonstrates a commitment to promoting a safety culture at work while following all safety procedures, policies and best practices.

**Tenant / Contract Services**
- Responds to existing tenants’ inquiries, issues, etc. and follows up to ensure they have received the information or action required, where applicable. Ensures that tenant requests are responded to and follows up regarding any requests to ensure completion and tenant awareness.
- Creates work request / orders and purchase orders.
- Administers parking areas and parking contracts. Monitors the parking expenses and revenue reports.
- Completes written property inspections of buildings and lands on a frequent basis. Follows up with external contractors or internal departments on findings and actions required.
- Assists with external service contracts and works closely with the HPA departments (e.g., Safety, Infrastructure and Maintenance) and/or contractors to ensure that the HPA assets are safe, maintained, enhanced as a destination, and as a good neighbor

**Pavilion 22 - Cruise Vendors**
- Prepares annual (revenue) budget projections for Pavilion 22 and license agreements for vendors.
- Administers and holds relationships with Cruise vendors. Ensure vendors comply with written agreements.
- Is responsible for the enhancement and layout of vendors in Pavilion 22. Works with internal HPA staff to ensure enhancement and layout if done in a collaborative manner.
- Addresses operational issues/concerns that may occur or directing them to the appropriate person. Follow up to ensure issues / concerns are resolved.
- Prepares reports and delivers presentations as required to meet information requirements.

**Events**
- Prepares, populates and updates the weekly Operations Calendar on behalf of the department with relevant events and operational information.
- Maintains a list of activities/functions and liaises with stakeholders regarding events on HPA property.
- Administer and coordinates the events on behalf of HPA.
- Prepares Event Agreements/Waivers.
- Works closely with Halifax Seaport stakeholders to promote and animate the site and grow the vibrancy of the property.

**Other**
- Performs data entry (i.e., Work Orders, Purchase Orders, etc.) and maintains files and manuals for the Real Estate Department.
- Performs word processing of reports and correspondence including cruise vendors, Visitors Services, tenants, and business agreements for the Real Estate Department.
- Responsible for other operational tasks as required from time to time. Provide support to deliver the HPA Business Plan, Corporate Goals and Department Goals.

**Note**: These are only the basic and primary duties; related and allied duties may be assigned from time to time as may become necessary to the operation of the Authority.

**Qualifications (Education and Experience)**
