**Job Title**:People & Culture (HR) Coordinator**
Reports to: Principal & CEO
Ste Marie Studio in Vancouver is seeking to fill the role of People & Culture Coordinator with an individual who is detail oriented and motivated to support a dynamic interior design studio. This full-time administrative role will be well suited for an organized, analytical individual who is interested in interior design and thrives working with a creative and passionate team while bringing process, systems and organization to support the working environment.
**Job Purpose**
The People & Culture Coordinator is responsible for the coordination and administration of Ste.Marie’s HR systems, processes, and programs. They are responsible and accountable for accurate record keeping and maintenance of employee files within BambooHR, generating monthly HR Metrics reports, and the administration of annual Engagement Surveys. In addition, they will support leadership by ensuring the seamless communication and coordination of Recruitment, Onboarding, Performance Management, and Benefits programs.
This position is critical for Ste.Marie success as the People & Culture Coordinator resolves issues raised by current and new employees, organizes and schedules orientations, and coordinates other human resource functions such as training and development.
**Duties and Responsibilities**
- Recruitment:
- updates job descriptions, communicates open roles internally, and posts job openings externally on appropriate platforms
- Onboarding / Offboarding:
- leads the Onboarding process to ensure a positive new hire experience by coordinating the new hire process, ensuring new hires properly complete on-boarding paperwork, setting up new hire calendar and coordinating orientation and training sessions, and tracks all training within BambooHR
- Performs offboarding tasks for terminating employees, including supportive communications and exit interviews
- Performance Management:
- assists the leadership team by providing timely communications on the Performance Review cycle, sends quarterly check in calendar reminders, and supports the coordination of year-end evaluations
- pulls data reports in BambooHR as requires and supports Managers with improvement plans as required
- provides leadership with technical HR knowledge of employment standards in those provinces in which Ste. Marie operates
- Employee Record Keeping and ESA
- Maintains accurate employee records and tracks training within BambooHR, Conduct regular audits to maintain accuracy of records; providing dashboards for Recruitment and Onboarding/ Offboarding as required
- Keep abreast with the latest human resource trends and best practices.
- Provides administrative support for Benefits, Timekeeping and Payroll, keeping employees up to date with any changes to program details as required
- Ensures the revision and updating of the employee handbook (Empact);
- Employee Engagement and Communications
- administers annual Engagement Surveys and assists Principals with communications and action plans that elevate the employee experience
- Responsible for internal posting and communication, i.e. career opportunities, social events, upcoming training, etc;
- provides in person and online training sessions as required
- supports both managers and employee with any employee relations issues
- maintains the confidentiality of information within Ste.Marie including conversations, personal employee information and medical files;
**Qualifications**
- a Bachelor's degree or diploma in Human Resources
- 1-2 years of experience as an HR coordinator
- Demonstrated knowledge of provincial and federal labour laws, and HR best practices
- Must possess excellent active listening skills and listens for understanding
- Excellent communication skills, both written and verbal, with keen attention to detail
- Superior organization and time management abilities
- Performs effectively under pressure and adheres to strict deadlines
- Exceptional ability to make sound judgments and solve problems
- Exceptional customer service skills
