Medical Office Administrator

Overview:
Illustria Medical Aesthetics clinic is seeking a Patient Coordinator to manage our front desk. As a Patient Coordinator, you will support patients during their appointments, liaison between the patient and doctor, and are the primary contact to patients for all inquiries between appointments.
As a Medical Office Assistant/Patient Coordinator, you will play a crucial role in ensuring the smooth operation of our medical aesthetics office. Your primary responsibilities will include administrative tasks, patient communication, and maintaining accurate medical records. If you have experience in a medi-spa or medical office setting and possess excellent organizational and communication skills, we encourage you to apply.
**Duties**:
- Perform clerical work in doctor's office
- Organize and update medical records and patient files using electronic medical records software (Jane)
- Greeting patients and visitors
- Answering phones
- Scheduling appointments
- Collecting and processing payments
- Assist patients with their product inquiries, recommendations, and purchases
- Prepare examination rooms between patient
- Ordering supplies
- Completing and faxing referrals and requisitions as required
- Capturing video/picture content as needed throughout the work day.
- Daily cleaning of the clinic: dusting, stocking, setting up, vacuuming, mopping, etc.
**Hours**:
**Tuesday** (9:30am-5:30pm), **Thursdays** (9:30am-5:30pm), **Saturdays** (9:30am-3:30pm)
**Requirements**:
- Warm and welcoming demeanor
- Previous customer focused role and/or clinic experience
- preferably medspa or cosmetic dermatology office experience
- Proficiency in using electronic medical records (EMR) systems (Jane) (training provided)
- Strong administrative skills with attention to detail
- Excellent communication skills, both verbal and written
- Familiarity with medical spa & aesthetics terminology
- Ability to multitask and prioritize tasks effectively
- Knowledge of front desk operations and phone systems
