Reporting to the Senior Specialist, WIL (Work Integrated Learning) and Careers, the Specialist, WIL Programs and Student Engagement (the Specialist) works 35 hours per week and is a part of the Alberta Union of Provincial Employees (AUPE). The incumbent must be able to represent the Faculty of Science Career, Co-op and Internships Programs by providing coaching and advice to students, faculty, and employers. The Specialist performs highly complex functions that require a high level of concentration and can result in a high impact of error. In dealing with complex issues, the incumbent is expected to demonstrate strong communication, team, and customer service skills, and to be resourceful, innovative, and creative in problem solving. This position works in an environment that demands efficient time management, experiences a high volume of work with strict deadlines, and requires strict adherence to confidentiality.
**Summary of Key Responsibilities** (job functions include but are not limited to):
- Uses highly analytical and in-depth knowledge to advise science students and deliver programs and services to guide them in their pursuit of work integrated learning opportunities.
- Develops strong relationships with stakeholders and represents the career interests of students on internal and external committees and working groups as required.
- Oversees the function, structure and any improvements on the Faculty of Science Co-op and Internship modules via Orbis.
- Collects data, analyzes, and reports on student participation in Science Career and WIL program offerings (e.g., work integrated learning, workshops), as well as employment / salary outcomes at defined intervals (e.g., upon graduation /5+ years post-graduation).
- Maintains student records and program statistics using technology such as Elevate and analyzes and reports on the data.
- Facilitates connections between students, industry representatives, and wider University of Calgary stakeholders.
- Engages, builds, and develops relationships with faculty members to identify their needs.
- Develops meaningful engagement opportunities for students, encourages participation in science career and WIL program initiatives, and seeks feedback regarding student performance during work integrated learning opportunities.
- Leads the student admission processes for the Undergraduate Science Co-op Program and the Graduate Professional Internship Program, utilizing PeopleSoft and Elevate as needed.
- Guides the Administrative Coordinators in the admissions processes, maintenance of student records and enrollment in the programs and overseeing the data in PeopleSoft and Orbis.
- Responsible for the decisions on student workplace issues as it affects their academic progression in the WIL programs.
- Develop reporting techniques for student and employer feedback; document and summarize feedback from students and employers for process improvement.
- Reporting on WIL data to the Government of Alberta, CEWIL and other related groups.
- Work closely with the Career and WIL Advisors, to ensure career and WIL resource content is up to date and meaningful for student needs.
- Responsible for maintaining and updating all the career resources, working with the Career and WIL Advisors to ensure the content is relevant to student's needs.
- Supports the sessional faculty members teaching WIL courses with course administration and student context, including supporting the registration process via PeopleSoft and the teaching and learning tools in D2L.
- Maintain course information in PeopleSoft and course information sheets and ensure timely submission of grades for courses.
- Alongside the Experiential Learning Coordinator, supervises and supports the Career and Engagement Assistant, working on student engagement initiatives.
