**Position Overview**

The **Graduate Science Centre** in the **Faculty of Science **is currently seeking a Full-time Regular **Graduate Internship Program Coordinator**.

Reporting to the Manager of the Graduate Science Centre, the Graduate Internship Program Coordinator is responsible for managing the work integrated learning (WIL) programs for graduate programs for both internal and external stakeholders and building awareness of internship opportunities for academic programs externally and within the Faculty of Science. Internally, this position markets, develops, delivers and evaluates the graduate WIL programs, evaluates feedback, and continuously reviews and implements changes to policies and procedures to improve the programs. Externally, this position builds, fosters and enhances relationships with external internship partners (industry, government, NGOs) to identify, develop, and create diverse WIL opportunities for Science graduate students.

**Summary of Key Responsibilities** (job functions include but are not limited to):
Employer and Student Support
- Support graduate students and all employers participating in work integrated learning experiences in the Faculty of Science.
- Serve as a back up and support the undergraduate work integrated learning program during peak times.
- Work collaboratively with undergraduate and graduate Science Internship Coordinators to establish faculty wide work integrated learning processes and procedures.
- Gather feedback from participating and exiting students and employers to ensure needs are met.
- Mediate and resolve any student-employer conflicts and refer to appropriate resources as required.
- Review, approve, and monitor job postings for their suitability for work term placements.
- Intervene as appropriate to ensure that development opportunities are noticed by students.
- Authorize independently found positions for participation in the various programs.
- Works collaboratively with undergraduate and graduate Science Internship Coordinators to develop timelines and schedules for program processes such as workshops, meetings, events, etc.
- Facilitate pre-employment workshops, including the development of materials and alternate delivery methods.
- Provide guidance on all aspects of job search process, transition to the workplace and work term behaviour.
- Ensure students understand current workplace culture and expectations.
- Develop positive relationships with external stakeholders including public, private and non-profit, specifically networking and relationship management with industry HR professionals and hiring managers.
- Advise supervisors and HR representatives on the development of job descriptions with suitable opportunities, and in developing selection criteria appropriate to the jobs.
- Advise employers and students of funding opportunities.
- Build relationships with potential employers of graduate student interns.

Program Coordination
- Develop, review, and maintains course modules, processes, policies, and regulations.
- Maintain accurate and current student records (Orbis, PeopleSoft).
- Track program metrics and assists with providing data for recruitment and marketing and provide suggestions in a detailed report for future growth.
- Maintain course information in PeopleSoft and course information sheets.
- Ensure timely submission of grades for courses.
- Develop and maintain training manual.
- Contribute to long range plans for and execution of an effective marketing and communication plan in a timely manner, within budget.
- Maintain program budget (e.g. for travel, events, recruitment).
- Work collaboratively with undergraduate and graduate Science Internship Coordinators to develop reporting techniques for student and employer feedback; document and summarize feedback from students and employers for the purpose of process improvement.
- Develop communication material to promote WIL opportunities in Science for students and employers.
- Collaborate and develop relationships with student associations, appropriate faculty members, and professional associations in order to design and implement appropriate career decisions and job search methods for students.
- Participate and co-organize in Career events, WIL working groups, and other opportunities.

Other
- Research and analyze job markets and career trends, ensuring all resources, programs and services are cutting edge, meeting the needs of graduate students, alumni and recruiters.
- Build awareness of internship programs available to graduate students within the Faculty of Science and liaise with the Faculty of Graduate Studies and other academic/service units internally and externally (e.g., MITACS, SWPP, Transformative Talent Internship, etc.), as necessary.
- Enhance growth in personal and interpersonal effectiveness; professional development encouraged.
