**Description**

The **Centre for Career & Personal Development** in the **Student Experience and Support** is currently seeking a Full-time Limited Term **First Year Experience Program Assistant **for approximately 12 months.

The First Year Experience (FYE) Program Assistant reports to the CCPD Manager Operations, with day-to-day responsibilities and priorities delegated and supervised by the New Student Program Specialist. The FYE Program Assistant provides administrative and logístical support to strategic priorities and initiatives with the First Year Experience portfolio. Key programs include Camp Lead, Orientation, UCalgary Strong Carnival, Campus Expo, You at Ucalgary, and Ask Me program.

The regular workday is Monday to Friday, 8:30am-4:30pm, however, due to the nature of this job, the Program Assistant is required to work flexible hours with occasional evening and weekend work required, especially during peak periods.

**Summary of Key Responsibilities** (job functions include but are not limited to):

- Assist the New Student Programs Specialist in research, planning and implementation of FYE programs and services.
- Support the New Student Programs Specialist with creating and maintaining documentation and processes, digital resources. Ensuring all materials are regularly updated and relevant.
- Provide event logistics support of FYE programs and services. Including, but not limited to:

- Schedule room and facility bookings and audiovisual requirements for workshops, programs and events.
- Engage with vendors for quotes, booking, scheduling.
- Purchase and track expenses for supplies for events.
- Support and deliver training for campus staff and students related to First Year Experience programming.
- Support volunteer recruitment and management of volunteer.
- Provide support to from registration to on-site support.
- Must available for off-campus, overnight/multiple overnight stays.
- Oversees and supports event set-up, take-down, clean-up.
- Manage tracking and storage of event supply inventory.
- May have to lift up to 25 pounds as related to event and programming duties.
- Administer surveys, collect and summarize feedback and make recommendations for improvements to events, and support post-event evaluation process.
- Provides statistical and data entry support for program evaluation and assessment.
- Represent CCPD to promote FYE programs and services at on-campus events at SES and institutional events.
- Maintain accurate and confidential records and metrics following FOIP guidelines.
- Participates fully in onboarding activities, recommended training and opportunities to immerse self in CCPD and campus culture.
- Follows university policies and procedures.

**Qualifications / Requirements**:

- Undergraduate degree with 1-2 years experience working in the post-secondary setting, ideally with a focus on student programming, and/or administration and customer service.
- Paraprofessional experience (Peer Helper, part-time student staff experience while in University) will be considered.
- Experience with event planning an asset.
- Experience and comfort with technology, including working with databases, running reports, and troubleshooting software issues considered an asset.
- Experience with the provision of student services in the high school or post-secondary setting considered an asset.
- Strong customer-service mindset is required.
- Ability to work independently and collaboratively in a team environment is required.
- Able to demonstrate effective team skills such as listening, sharing information, and supporting a positive team culture is required.
- Demonstrated commitment to exceptional, proactive student service is required.
- Demonstrated strong presentation, written and verbal communication skills.
- Demonstrated problem solving skills.
- Ability to plan for and efficiently manage multiple tasks and priorities under the pressure of tight deadlines.
- Highly organized with strong attention to detail.
- Knowledge of the University of Calgary processes and procedures is desirable.
