**Position Overview**

The **Faculty of Nursing** is currently seeking a Full-time Limited Term **Program Specialist **for approximately 24 months.

The Program Specialist provides expertise in work related to admission, progression, and graduation of students in both undergraduate and graduate programs. On behalf of the Faculty, the Program Specialist has authority to determine transfer credit and admit applicants meeting specific academic criteria. The Program Specialist has the expertise and advising ability to help future and continuing students navigate through policies and procedures to ensure a positive student experience.

This position deals with complex advising issues at all levels of the curriculum. There is a high volume of work with peak periods during recruitment, admission, registration and beginning/end of term; therefore, efficient time management skills are critical in order to ensure that all deadlines are met.

Regular work hours are Monday to Friday 8:30 a.m. to 4:30 p.m.; however, due to the nature of events/meetings, the position may require some travel to locations off of main campus and irregular work hours including early morning, evening or weekends.

As a member of team, the Program Specialist, reports to Director of Faculty Operations.

**Position Description**

**Summary of Key Responsibilities** (job functions include but are not limited to):

- Possesses in-depth knowledge of Calendar regulations governing admission and progression for undergraduate and graduate programs within the Faculty of Nursing
- Advises students regarding the University of Calgary, Faculty of Graduate Studies and Faculty of Nursing policies and procedures
- Ensures the integrity of information provided to future and current students is accurate and is offered with discretion and tact to avoid misunderstandings or difficult encounters
- Implements, reviews, and maintains administrative and reporting processes and guidelines, to ensure optimum efficiency and effectiveness. Brings forth recommendations for change to the team and Manager for approval
- Represents the Faculty and the team at both internal and external committees, meetings, forums, and public events. In some cases, acts as recording secretary taking minutes and following up on action items
- Ensures that cooperative and trusting working relationships are fostered and successfully maintained with internal team members, staff members in various units of Enrolment Services (i.e. Admissions, Registrations, Recruitment, etc.) and staff and faculty
- Acts as a resource to the Faculty of Nursing, regarding interpretation of admission policies and decisions
- Provides advising related to admission, registration, progression, and convocation processes for students to ensure program requirements are met
- Conducts academic review of student records to identify students in academic jeopardy and prepare formal correspondence
- Ensures that degree requirements have been met Calculates Degree with Distinction and approves students for convocation
- Provides verification of graduation to employment agencies [local (non-AHS), national and international for all programs
- Reviews admission files, with the utmost accuracy and timeliness, to verify admissibility
- Analyzes, approves and properly records transfer credit, ensuring standards of fairness and objectivity are upheld and maintains records to verify all these conditions. Ensures that credit posted in the degree audit system (PS Academic - Advising) is accurate
- Compiles admission related statistics and generates reports as directed
- Prepares materials for selection committee meetings/interviews
- Provides specialist administrative support in relation to registration, progression, and convocation processes
- Maintains Graduate student Database for all Graduate Programs including prospective and current graduate students and provide accurate statistics to external and internal stakeholders
- Monitors student progression through their degree program to graduation to ensure requirements are met
- Provides verification of program completion to Nursing Registration Boards for alumni seeking nursing registration in countries outside of Canada. These official documents require an eye for details and often complex analysis
- Annually updates the Student Handbook and admission packages, ensuring that all content is accurate and up to date. This involves liaising with various departments/offices
- Travels to offsite locations as required for meetings and student sessions (approximately 2 to 4 times per year)
- Collects and tracks Student Practice Evaluation Forms for various Terms, as assigned, ensuring that documentation is placed on each student's permanent record.
