**Job Overview**

**Key Responsibilities**:
**Staffing and Employee Relations**:

- Assist in the hiring process, including recruitment, onboarding, and the setup of new employees.
- Meet with employees regarding sick benefits, retirement notices, and other HR-related matters.
- Coordinate yearly vacation approvals and maintain vacation records for all employees.
- Create and update job postings and job descriptions as needed.
- Post and communicate relevant plant or company-wide information.
- Manage the creation and distribution of employee access cards for facility entry.
- Administer safety shoe submissions and receipts in coordination with corporate guidelines.
- Track and update employee medical notes and sick leave records.
- File employee disciplinary actions and coaching notes in compliance with company policies.
- Support with the termination process, preparing termination letters, and managing related documentation.

**Payroll Clerk**
- Enter and code unionized payroll daily, ensuring accuracy and compliance with union agreements.
- Validate and review employee hours and pay stubs weekly to ensure correct pay for each payroll cycle.
- Set up and maintain employee finger scanning systems for time tracking.
- Regularly update and validate employee vacation and sick leave balances.
- Communicate with employees regarding pay discrepancies and ensure resolutions are provided in a timely manner.
- Calculate payroll hours for General Linen Staff and Agency staff and provide accurate reporting.

**Workplace Safety & Workers' Compensation**:

- File and maintain all Workers' Safety and Insurance Board (WSIB) incidents and reports.
- Follow up with injured staff and coordinate return-to-work programs in conjunction with WSIB and management.
- Ensure compliance with return-to-work programs, tracking modified duties and employee progress.
- Conduct monthly workplace inspections and report findings.
- Regularly inspect and update first aid kits to ensure they are stocked and compliant with regulations.

**Administrative Supervisory Support**:

- Data entry for reporting
- Order maintenance parts and miscellaneous items
- Enter received packing slips
- Have a solid understanding of production and plant responsibilities to assist in operations as needed.
- Assist with signage and the printing of necessary forms, policies, or notices for plant communication.

**Qualifications**:

- Experience in administration, time management or a related field.
- Strong organizational and administrative skills, with attention to detail.
- Proficient in payroll software, HRIS systems, and Microsoft Office Suite.
- Excellent communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong problem-solving skills and the ability to work independently or as part of a team.

**Education & Experience**:
Entry level Administrator and or Business Administration experience preferred.

Minimum 2-3 years of experience in administrative roles.

Pay: From $50,000.00 per year
