**JOB TITLE**:Administrative Assistant - Temporary Position
**CLASSIFICATION**:$17.20/hour
**REPORTS TO**:Tenant Services Manager
**POSTION SUMMARY**:
**a.** **Introduction**
The Administrative Assistant will assist and provide vacation relief to the Reception Services Coordinator. This person will accept and input rent payments, provide support, reception, and production services to the non-profit, facilitating a positive, service-oriented relationship between the Non-Profit’s staff and its tenants. The Administrative Assistant is a team player, and open to continuous learning and the embracing of new skills. The Administrative Assistant is usually the first contact for tenants and members of the public who come into the non-profit’s office and thus is responsible for interacting in a professional manner.
**b. Hours of Work**
37.5 hours per week.
**c. Confidentiality**
The Administrative Assistant shall not disclose the business of the Non-Profit before or after the term of employment by the Non-Profit, or use for her/his own purpose, or for the purpose of any other organization or individual, any information which she/he may acquire concerning the operation of the Non-Profit.
**TASKS**:
The Administrative Assistant will share in the administration of the Non-Profit’s office. Areas of general responsibility are:
**1. Administrative Support**
a) support other staff by means of photocopying, shredding, filing, the production of notice and purchase orders/work orders, etc. as required;
b) maintain inventories and order office supplies, equipment and furnishings, with necessary authorization.
c) produce draft documents as directed using Microsoft Word, PowerPoint and Excel.
**2. Communications**
a) respond to and direct incoming telephone calls;
b) greet Tenants and members of the public walking into the Non-Profit’s offices;
c) process incoming mail, directing items to the appropriate staff person;
d) process outgoing mail
**3. Financial Support**
a) receive payments of rents from Tenants;
b) issue Arcori generated receipts for cash payments;
c) operate a debit machine
d) ensure that debit transaction records are entered into Arcori against the Tenant’s ledger on a timely basis;
e) complete purchase orders for the purchase of office supplies;
**4. Community Engagement**
a) during periods when vacation relief is not required, the Administrative Assistant may assist the Community Worker with event planning and coordination
b) assist with the administration of the annual Satellite Community Homes Tenant Satisfaction Survey
**5. Other Duties as Assigned**
**EMPLOYMENT GUIDE**:
Highschool diploma
Experience working in an administrative support role.
Experience working in social housing an asset.
Demonstrated organizational skills, including the ability to multi-task.
Exceptional problem solving, written and verbal communication skills.
Proficiency in cloud-based software including Office 365 and other housing/maintenance-based software, including Arcori and HM Works.
Ability to work with a minimum of supervision.
Possess an ability to relate well with a wide range of people, from government officials, service providers, senior leaders, board members to tenants, and a maturity which indicates an ability to perform tasks and to provide exemplary customer service.
