**Job Summary:**

Trane in Dartmouth, Nova Scotia is hiring for a Sales Support & Office Administrative Specialist to join the team. In this position you will be providing sales and administrative support, working closely with our Account Managers, operations teams, while supporting our customers.

**Responsibilities**:
**Sales Support**
- Support the sales process by assisting with estimating, quote preparation and proposal, submittals, any required documents and order entry.
- Support Account Managers on effective use and compliance of SalesForce.
- Responsible for all documentation and follow up on sales solutions that involve teaming with Account Mangers in assigned territory.
- Record relevant correspondence and issues, meetings minutes and other conversations.
- Assist in finding, entering and managing critical data on opportunities and linking customer requests to the SalesForce opportunity.
- Generate, interpret and share various reports and update corporate databases.
- Interact with sales to ensure smooth transition of projects from the sales process. Interface with other streams to ensure key integration including but not limited to Systems and BAS to service linkage, and timely renewal of service agreements.
- Acts as liaison between office and factory to make sure orders are delivered on time.
- Coordinate internal Trane claims, collect information, complete forms and track progress.
- Initiate invoicing process and payments by verifying project-related materials
- Obtain acceptance and timely sign-off of the project by the customer.
- Establish a professional relationship with the customer and interface constantly to maintain accurate status reports and project reviews.
- Maintain customer satisfaction by investigating concerns, implementing corrective action, and communicating with customers and assigned staff.

**Office Administrative Specialist**
- Organize repairs and payment for offices (building, boardroom IT equipment, WIFI/internet and Xerox equipment), contact person for vendors (set-up, payments), order office supplies for both locations
- Coordinate in-office and off-site meetings; customer events, volunteer events, factory tours and sponsorships. Order food and refreshments as required.
- Member of the Social Committee includes planning office events, holiday parties.
- Ordering monitors and other computer items for new associates
- Updating security system and issuing access FOBs
- Maintain Atlantic Canada Phone Tree
- Contact person for Telus mobile services includes account maintenance and payment,
- Contact person for BELL coordinating internet and landline issues, repairs and charges.
- Active Joint Health & Safety Committee (JHSC) member, complete monthly office inspections of Dartmouth location, point person for EHS Leader, order PPE for non-technicians as required, COR Certified (complete the 5 courses for this certification), assist in yearly internal COR audit and maintain Atlantic files for EHS on SharePoint site.
- Issue COIs (Certificate of Insurance) and Worksafe Clearance Certificates

Qualifications:

- Associates degree business administration, engineering technology, construction management, facilities operations management; with a minimum of five years’ experience or equivalent combination of work experience required.
- Working knowledge of construction, HVAC, mechanical, electrical, plumbing systems, facilities management, etc. is preferred.
- Excellent speaking, writing and presenting experience
- Strong math and problem solving skills
- Working knowledge of CRM tools such as Salesforce
- Proficient in Microsoft suite including excel and creating graphs/charts
- Experience with LEAN and/or Six Sigma problem solving
- Must be able to travel throughout assigned territory
- COR Safety Certification an asset
- Must possess a valid driver’s license for a minimum of 12 months, with no major or frequent traffic violations including, but not limited to:

- DUI, Hit & Run, License Suspension, Reckless / Carless Driving, or multiple smaller infractions or preventable collisions in the previous 3 years.
