**Position Overview**

**Responsibilities**

**Reception Duties**
- Greet visitors, clients, and employees in a warm and professional manner.
- Manage incoming calls and redirect them to the appropriate personnel.
- Handle incoming and outgoing mail and packages.

**Administrative Support**
- Perform general administrative tasks including coordinating with suppliers
- Assist in maintaining accurate customer and order records in Shopify and other systems

**Order Processing and Fulfillment**
- Receive and review incoming orders, ensuring accuracy and completeness.
- Process orders promptly and accurately into Shopify, Amazon and other e-commerce platforms.
- Coordinate with various internal departments to ensure orders are fulfilled within specified timelines.
- Coordinate shipping of orders and monitor and track order status, providing regular updates to customers and internal stakeholders.
- Address and resolve any order-related issues or discrepancies in a timely manner.

**Inventory Management**
- Maintain accurate inventory records and stock levels.
- Monitor inventory levels in Shopify, Amazon and other e-commerce platforms to ensure availability of products for order fulfillment.
- Coordinate with the procurement team to restock inventory as needed.

**Shipping and Logistics**
- Prepare shipping documents, including packing lists, invoices, and shipping labels.
- Coordinate with shipping carriers to schedule pickups and deliveries.
- Ensure shipments are properly packaged, labeled, and compliant with regulatory requirements.
- Track shipments and provide customers with shipment status updates.
- Investigate and resolve any shipping or delivery issues promptly.

**Customer Service**
- Serve as a primary point of contact for customer inquiries and provide timely and professional responses.
- Assist customers with order-related questions, product information, and general inquiries.
- Handle customer complaints or issues, aiming to provide satisfactory resolutions.
- Maintain a positive and friendly demeanor while ensuring a high level of customer satisfaction.

**Digital Marketing Support**
- Assist with managing social media accounts and community engagement
- Assist with graphic design, copywriting/proofreading and digital content creation
- Conduct research on relevant topics and latest trends to gather information/insights for content creation.
- Proofread and edit content for clarity, accuracy, and adherence to brand guidelines

**Sales Representative**
- Prospect and identify potential customers
- Conduct in-person meetings and presentations to demonstrate the features and advantages of our product.
- Develop and maintain strong relationships with new and existing clients, fostering trust and long-term partnerships.
- Understand customer needs, address inquiries, and provide appropriate solutions
- Collaborate with the marketing team to develop sales strategies and promotional materials
- Achieve and exceed sales targets and objectives on a regular basis.
- Prepare and submit accurate sales reports, forecasts, and other relevant documentation.

**Qualifications**
- Proven experience in administrative support, order fulfillment, and receptionist roles.
- Strong experience and proficiency in using Shopify or similar e-commerce platforms.
- Excellent organizational skills with exceptional attention to detail.
- Strong written and verbal communication abilities.
- Proficient in using order management systems, inventory management software, and Microsoft Office Suite.
- Ability to multitask and prioritize workload in a fast-paced environment.
- Strong problem-solving skills and the ability to handle customer complaints with professionalism.
- Knowledge of shipping and logistics processes
- Experience using Canva, Photoshop and/or other graphic design tools.
- Experience managing social media platforms and community engagement
- Proven experience as a Sales Representative or in a similar sales role.
- Strong sales and negotiation skills with a demonstrated track record of achieving targets.
- Excellent interpersonal and communication skills, both verbal and written.
- Ability to build and maintain relationships with customers, demonstrating professionalism and trustworthiness.
- Self-motivated, target-driven, and results-oriented mindset.
- Ability to work independently as well as collaboratively within a team.
- Valid driver's license and willingness to travel to meet clients within assigned territories.

**Job Types**: Full-time, Permanent

Pay: $40,000.00-$85,000.00 per year

Schedule:

- 8 hour shift
- Monday to Friday
- Weekends as needed
