**OVERVIEW**

**JOB RESPONSIBILITIES**

The Office Administrator will cover a variety of interactions including employees and external customers throughout the workday. The Office Administrator must maintain positive, friendly, cooperative relationships with all internal and external stakeholders.
- Greet and assist all visitors, guests, contractors, and employees upon arrival to the office in a professional manner. Assist with providing direction and assistance such as Wi-Fi password, conference calling set-up.
- Ensure daily office operations are maintained including supply ordering, maintaining office services including photocopiers, shredding. Responsible for coffee/tea/water replenishment and catering needs as applicable.
- Coordinating the needs for the boardroom, maintaining office common areas and a clean and safe work environment. Coordinating employee parking needs and assignments.
- Completing tasks such as sorting and distributing mail, preparing letters and packages for mailing or couriering as required and ensuring timely mail transfers between company locations.
- Responsible for coordinating orders for office supplies and other materials, coffee/tea and services as required.
- Filing, collation, scanning and copying of documents for Management and Administrative staff as required.
- Responsible for the management of the company corporate travel plan including bookings, reconciliations, managing of credits and reviewing of prices for recommendations.
- Assist head office staff and other location employees with set up of computer equipment, cell phones and desk phones. This includes setting up all equipment, accounts and wiping devices as required.
- Triage employee’s computer and network issues with third party IT support contractor
- Reconcile credit card statements with submitted receipts monthly. Prepare expense reports and submit to the appropriate authorizing personnel for approval in a timely manner.
- Responsible for the maintenance of company Mastercard’s, pulling statements, reviewing for coding accuracy, tracking of mileage and coordination of expenses.

Other duties as assigned.

**KNOWLEDGE, SKILLS AND ABILITIES**
- 1-3 years’ experience in Office Administration
- Strong communication skills (both written and oral) and attention to detail.
- Strong computer skills specifically with MS Excel, Word, Sage, and Exchange
- Strong organizational skills and strong attention to detail
- Time management skills and ability to prioritize, ability to work under pressure.
- Capable of working independently and as part of a team
- Advanced data entry skills with high level of accuracy
