Reporting to the CEO, the Executive Assistant will support his daily activities with strong clerical skills.
This position will be based in Toronto.
**Responsibilities**:
- Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, communications, presentations and other documents.
- Coordinate and manage executive-level meetings, including agenda preparation, minute-taking, and follow-up on action items.
- Act as the point of contact between the CEO and executives, internal/external stakeholders.
- Handle confidential information with discretion and ensure the integrity of sensitive data.
- Organize and maintain files and records, both electronic and physical.
- Conduct research and compile data for reports and special projects as required.
- Assist with budget tracking, expense reporting, and invoice processing.
- Support the CEO in the planning and execution of strategic projects.
- Provide logístical support for company events, conferences, and other special activities.
- Draft, review, and send communications on behalf of the CEO.
- Facilitate effective communication within the executive team and across the organization.
- Build and maintain positive working relationships with internal and external stakeholders.
- Represent the executive office in a professional and courteous manner.
**Qualifications**:
- Bachelor’s degree in business administration, Management, or a related field.
- Minimum of 5 years of experience as an Executive Assistant or in a similar role, preferably in a corporate environment.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
- Proficient with Power BI and basic data analysis
- High level of professionalism, integrity, and confidentiality.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and attention to detail.
