We are currently seeking an experienced full-time, permanent **Communications Assistant** to join our team

**Position Overview**:
Reporting to the Communications Manager, the Communications Assistant is part of the Communications Team at the ESPCN. This role supports both internal and external communications, including communications and engagement efforts targeted towards ESPCN staff, physicians and members of the community. A significant part of this role is involved in the maintenance and oversight of the physician member database and associated communications mechanisms. The Communications Assistant will also be involved in newsletter creation and distribution, website maintenance, collateral creation, and change management activities. The ESPCN holds approximately 5-6 events each year including an annual AGM, Open Houses, Town Halls and various staff events; this role will be a key resource in the organization and execution of these events.

**Key Roles & Responsibilities**:

- Act as a communications resource to other ESPCN team members, member physicians, stakeholders and partner organizations.
- Create and distribute the ESPCN’s internal newsletters (i.e., collect and organize content, schedule for distribution, maintain distribution lists, and collect analytics).
- Database entry and management for member physician onboarding, offboarding, and creating and maintaining member accounts on the ESPCN website.
- Assist the Communications Team with planning, promoting and executing events such as the Annual General Meetings, Town Halls, Open Houses and various staff events (i.e., communicating with vendors, updating project plans, supporting event logistics and assisting with developing marketing materials).
- Provide administrative support for workshops led by the Quality Improvement team (~ 5 per year) including event registration, promotion, attendance, recording, and reporting to the Physician Learning Program.
- Monitor the shared inboxes for ESPCN Communications Team and ESPCN (general inbox) and respond professionally or escalate as necessary.
- Maintain and provide analytics for both the staff-facing intranet and public facing website. This includes occasional content development, as needed.
- Draft correspondence, develop presentation material or other communications for and with the Communications Team.
- Develop, maintain, and work towards continuous improvement of administrative processes for the Communications Team to ensure documents, processes and file structures are relevant and up to date.
- Provide administrative and clerical support such as scheduling meetings, meeting preparation, minute taking, and other duties as required.

**Experience, Skills & Qualifications**:

- Post-secondary education in a related field
- Software proficiency (Microsoft 365 including SharePoint, Teams and the suite of Microsoft products (i.e. Word, Excel, OneNote and Outlook), MailChimp, WordPress, Canva, Adobe Creative Cloud, etc.).
- Exceptional written and verbal skills; detail oriented.
- Experience with communications, database management and event planning.
- Strong organizational and time management skills.
- Capability to multi-task and prioritize numerous projects with competing deadlines.
- Builds productive workplace relationships while working independently and as part of a team.
- Excellent problem solving and critical thinking skills.
