**THE ROLE**

Melbourne Property Management is seeking an Office Manager. We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office. This is a full time,_ **in office**_ position.

**Start Date: ASAP**

As an **Office Manager**, you will be responsible for:

- Manage reception duties, including handling calls, mail/courier deliveries, and greeting visitors
- Oversee the day-to-day functionality of the head office, ensuring a professional and efficient work environment
- Creating or assisting with internal projects and reporting as needed
- Update Concierge Plus with Owners Info upon PM request
- Scan received by mail corporation’s property and send over to Property Managers and Junior Accountants in copy
- Arrange Audit documents, pack, and arrange courier upon PA’s request
- Create AB courier invoices for all pickups
- Update Black Book and Corporate Seal File in Share Point and the file cabinet
- Order office/kitchen/printer supplies and maintain inventory
- Handle office equipment maintenance and troubleshooting, coordinating repairs as necessary
- Ensure the cleanliness and organization of the kitchen, including loading and unloading dishwasher, coordinating cleaning services and managing the office’s appearance
- Coordinate building maintenance requests and liaise with vendors, service providers, and contractors.
- Performing other related duties as required or requested

**YOUR QUALIFICATIONS**
- 3-5 years of administrative and Office Manager experience is required
- Post-Secondary education or an acceptable combination of education and relevant experience preferred
- Interest in obtaining first aid certification considered an asset
- Highly motivated and deadline driven work ethic
- Proactive with excellent organizational skills
- Ability to perform filing and record keeping tasks
- Excellent communication and interpersonal skills
- Open to ideas, willing to ask for help, flexible, takes pride in their work, able to admit when a mistake is made, and learn from the experience
- Work with a team who are less concerned about how Condominium Management has always been done in the past, but rather how could it be done better or differently in the future_
